We are seeking a highly organized and detail-oriented Remote Trip Coordinator to assist our clients in planning, organizing, and executing seamless travel experiences. This is a fully remote position, ideal for someone who thrives in a virtual environment and has a passion for travel logistics, customer service, and creating memorable experiences. The Remote Trip Coordinator will work closely with clients, suppliers, and vendors to ensure all aspects of travel are coordinated and meet the client’s needs and expectations.

Key Responsibilities :

  • Client Consultation : Communicate with clients to understand their travel preferences, requirements, and budget. Provide personalized recommendations and expert advice on destinations, accommodations, activities, and itineraries.
  • Itinerary Planning : Develop and manage detailed travel itineraries, ensuring smooth transitions between flights, accommodations, ground transportation, and activities.
  • Booking and Reservations : Coordinate and manage all travel bookings, including flights, hotels, car rentals, tours, and special events. Ensure all reservations are confirmed, accurate, and in line with the client’s expectations.
  • Vendor Liaison : Work with travel suppliers, including airlines, hotels, and tour operators, to secure the best rates and services for clients. Establish and maintain relationships with key vendors.
  • Travel Support : Provide continuous support to clients before, during, and after their trips. Troubleshoot any issues that may arise, such as changes in flight schedules, cancellations, or emergencies.
  • Documentation and Reporting : Ensure clients have all necessary travel documents, such as itineraries, tickets, confirmations, and travel insurance information. Maintain accurate records of all bookings, payments, and correspondence.
  • Customer Service : Address client inquiries, resolve issues, and ensure overall satisfaction throughout the trip planning and execution process. Strive to exceed customer expectations with every interaction.
  • Travel Research : Stay up-to-date with the latest travel trends, destinations, and best practices. Share relevant information with clients and provide insights into new and exciting travel options.
  • Remote Team Collaboration : Work closely with a remote team, ensuring clear communication and smooth coordination of tasks. Participate in virtual meetings, training sessions, and project collaborations.

Skills and Qualifications :

  • Proven experience in travel coordination, trip planning, or related customer service roles.
  • Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
  • Excellent communication skills, both written and verbal, with the ability to work with clients from diverse backgrounds.
  • Strong attention to detail and the ability to handle travel logistics seamlessly.
  • Familiarity with booking platforms, travel management tools, and online research methods.
  • Ability to work independently in a remote setting, demonstrating self-motivation and proactive problem-solving.
  • Knowledge of global destinations, airlines, and travel policies is a plus.
  • Fluency in additional languages is an asset but not required.
  • Experience with travel insurance, crisis management, or group travel coordination is a bonus.
  • Working Conditions :

  • Fully remote position with flexible working hours.
  • Occasional evening or weekend hours may be required to accommodate clients in different time zones.
