We are seeking for an office administratior, with experience in basic understanding of weekly timecard processing, google sheets, google applications, job tracking data.

Position Overview

The position of office admin/assistant is vital to running our company both effectively and efficiently. This role will present a variety of tasks that will need to be performed daily, weekly, and sometimes bi-weekly. It is important that these tasks are carried out with the utmost attention to detail. For this reason, we have implemented structures and procedures that will need to be followed each and every time to ensure the tasks are completed accurately.

Below is a brief outline of the job training we will provide to help you gain the basic knowledge and give you the tools and support to perform to your highest potential.

Timecards

Timecard processing is one of the highest priorities for the office assistant. This is how our field employees get paid and we account for field acquired costs. We will work with you in understanding how to properly fill out the information on the timecards so that you will be able to identify and address any irregularities in the field submitted timecards.

Job Tracking Sheets

Certain jobs and contractors will require us to track incurred costs especially when work is done on a time and material basis. MS Excel is the main tool we use to accomplish this task. This system will make you proficient with in MS Excel as well as teach you about the accounting side of business.

Google Drive

We use Google Drive as a file sharing and storage space for all of our projects. Daily logs, additional field work order forms, safety meeting sign-in sheets and timecards are all created and stored within the Drive. This system allows access to all vital job documentation to employees in the office, at home or in the field. Your job will include using Google Driveto gather timecard and work order forms from each of our projects in order to get our carpenters paid and help our PM’s run their jobs efficiently.

Google Drive is a very user friendly platform that many companies use to share information within and outside of the office. Your training on the use of this platform will help you better communicate with your co-workers in the office as well as those out in the field.

REQUIREMENTS

  • Bilingual English/Spanish. Must be able to write and speak fluent English/Spanish.
  • Excellent communication skills, both written and verbal.
  • Strong computer skills - Microsoft Office with advanced Excel knowledge.
  • Excellent interpersonal skills.

EDUCATION AND EXPERIENCE

  • College Degree or equivalent.
  • Experience working with payroll and accounting.
  • Microsoft Office - Word, Excel, Outlook.

COMPENSATION

This is a parti-time position. Compensation from $23.00 per hour to $25.00 per hour depending on the experience and qualifications. Competitive benefits package.
