Responsibilities
Job Overview:
The Senior Data Program Management Operations Analyst will provide operational support and strategic guidance to a DOD Product Management Office. This position involves managing complex tasks related to the development of Defense Business Systems and IT solutions. The ideal candidate will possess exceptional leadership, communication, and organizational skills, and demonstrate the ability to work proactively in a dynamic, fast paced environment.
Operational Management and Leadership:
Oversee daily operations, leading and prioritizing the activities of the operations team. Act as a key liaison between division chiefs, DOD staff, and other stakeholders to identify program needs and ensure alignment with goals.
Task Management and Coordination:
Manage taskers (due outs) through completion, ensuring timely resolution and accurate tracking using tools such as SharePoint. Serve as the Action Officer for product team related tasks requested by the customer, higher headquarters, and external organizations, consolidating input and adjudicating comments.
Strategic Program Support:
Leverage extensive knowledge of the DoD acquisition lifecycle to support program development and acquisition activities. Assist in responding to Congressional, DoD, and other government agency inquiries, ensuring accurate and timely communication.
Event Coordination and Protocol Management:
Provide event coordination and protocol support for official functions such as charter ceremonies, promotions, and retirements. Synchronize program management division activities and ensure leaders are informed and prepared for events and meetings.
Knowledge Management and Reporting:
Monitor knowledge management processes to ensure the accessibility and accuracy of Product Management Office information. Create, edit, and organize PowerPoint briefings, reports, and SOPs for leadership meetings, program status reviews, and annual performance reviews.
Agile Practice Implementation:
Support the implementation of Agile practices throughout the the customers organiztion, fostering innovation and process improvement.
Process Improvement and Documentation:
Recommend and implement process improvements to streamline operations and enhance efficiency. Assist in developing and maintaining operational templates and standard operating procedures (SOPs).
Qualifications
Required:
- 5 years of experience working in DoD organizations as military personnel, a government civilian, or a contractor.
- Bachelor’s degree in business administration, Information Systems, or a related field.
- Project Management Professional (PMP).
- Extensive experience managing operational and programmatic tasks in high paced environments.
- Proficiency with Microsoft Office Suite (Excel, PowerPoint, Word, Project), SharePoint, and MS Teams.
- Strong leadership and organizational skills, with the ability to establish and maintain relationships across multiple stakeholders.
- Exceptional verbal and written communication skills.
- Demonstrated ability to work independently and proactively manage complex tasks.
Desired:
- Agile Certified Practitioner (PMIACP) or equivalent Agile certification.
- Experience with SharePoint administration and content ownership.
- Familiarity with business process improvement methodologies.
- Expertise in Agile tools and techniques, including sprint planning and backlog management.
