S3, Inc. has an immediate opening for a Program Executive Assistant to provide support on our STORM program at Redstone Arsenal, AL.
Description:
The Program Executive Assistant supports the Field Artillery Launchers Product Office and will analyze and prepare or modify documents including correspondence, reports, drafts, memos, and emails for the Product Manager (PdM) and Deputy Product Manager (DPdM), ensuring all documents routing from Field Artillery Launchers (FAL) Product Office are in accordance with AR 25-50 guidance and directives.
Responsibilities:
- Upload documents and attachments into the STEARS application ensuring all compliances.
- Update and distribute briefings and supporting documentation to the FAL shared drives and update FAL Phone/Recall rosters and organization charts and assist with the update distribution lists for all groups on FAL Teams, which includes submitting a Help Desk ticket.
- Create O6 Staff Call charts and Weekly Activity Reports/SigActs for the FAL DPdM to review/edit and post the O6 Staff Call Chart weekly and post the DPdM approved SigAct(s) to the STORM SIGACTS app.
- Analyze requests for meetings and briefings to the Product Manager and Deputy Product Manager and schedule as appropriate and update Product Manager and Deputy Product Manager calendars as needed to resolve schedule conflicts and update FAL Internal, External, and STORM calendars.
- Research, develop, distribute and track action items resulting from the Product Manager and Deputy Product Manager meetings.
- Analyze trip purposes, requirements and program agendas, to include desired outcomes and deliverables, and then prepare trip books consisting of agenda items, information or white papers and/or briefing charts and itineraries for travelers.
- Arrange travel authorizations/itineraries to meet this need for FAL core team to include booking domestic and international airline travel, hotel accommodations, and rental car reservations in accordance with the DoD Joint Travel Regulations (JTR), PEO M&S, and STORM PMO business rules.
- Understand and articulate the Defense Travel System (DTS) requirements and the JTR to travelers and perform and complete travel reimbursement vouchers and ensure that travel guidelines are followed.
- Assist travelers with obtaining passports, visas, APACS approvals, and foreign travel training certificates for OCONUS travel and obtain and maintain travel training certifications.
- Organize, execute, and provide status on FAL events and inform FAL Core Team on STORM events.
- Generate and champion New Employee Requests (NER) and status leadership, generate and champion TeamTrack tickets for in-processing, SIPR Net token, and out-processing requests for the FAL Core team, and generate military and civilian medal awards packets as directed.
- Maintain status on the medal award packet for FAL leadership.
Qualifications:
High School diploma and 17 years of experience or a Bachelor's degree and 13 years of experience.- Must have a Secret or higher DoD security clearance or have the ability to obtain one in a reasonable timeframe.
- Have at least a level 3 out of 5 competency in Microsoft applications (Excel, Word, PowerPoint).
- 2 or more years of experience in the development and coordination of government programmatic activities and acquisition documentation.
- At least one or more years of experience developing travel requests and coordinating travel for an organization, using Defense Travel System (DTS).
- At least one or more years of experience with in/out processing employees and tracking awards and training documentation.
