Inc. is seeking a Director of Administration to join our Corporate Business Operations team at our corporate HQ in Cummings Research Park, Huntsville, AL. This position offers an opportunity for a retiree to return to work. Seniors are welcome.

This position also offers an opportunity for a seasoned HR manager to assume a corporate leadership position, where your experience is valued and rewarded.

This is not a teleworking position.

Requires a U.S. citizenship and the ability to hold a secret level clearance. Military experience is a plus when combined with qualifying industry experience with a defense contractor of greater than 500 employees.

Job Description:

The Administration Department of S3, Inc. Business Operations consists of Human Resources (HR), Benefits, Recruiting, Training Development, and IT departments that support contracts co-located with government customers at multiple locations, CONUS and OCONUS. The Director of Administration reports to the CAO and manages functions supporting S3 and three subsidiaries - GLSS (Logistics Maintenance CBA, SCA), KBFS (Aviation Commercial), and S3I/S3A (OCONUS Aviation Services).

S3 is seeking a highly capable Director of Administration (DA) to manage our company’s administrative operations.

The DA is responsible for overseeing team performance, managing and allocating resources, setting goals for departments, implementing company policies, and ensuring a high level of employee satisfaction.

DA expertise in streamlining business operations helps our organization increase efficiency and remain competitive.

· The ideal DA should possess strong strategic planning skills, exceptional leadership qualities, and strong knowledge of performance metrics for a defense contractor.

The main duties and responsibilities include:

  • Oversee and manage the daily operations of the business organization for HR, Benefits, IT, Facilities, Recruiting.
  • Develop, review, and improve administrative systems, policies, and procedures.
  • Ensure the organization is in compliance with all relevant laws and regulations.
  • Manage and supervise other administrative staff.
  • Work closely with the corporate executive team to set goals, plan and execute projects.
  • Oversee budget planning and manage resources effectively within the budget.
  • Ensure excellent customer and client service for both internal and external clients.
  • Coordinate with HR department to manage staff, including hiring, training, and performance evaluations.
  • Manage all administrative elements of contracts and other stakeholders.
  • Assess staff performance and provide coaching and guidance to ensure maximum efficiency.
  • Manage internal and external communications.
  • Establish goals and schedules for the department.
  • Streamline operations to increase efficiency while maintaining budget and schedule compliance.
  • Plan and coordinate administrative procedures and systems and devise ways to streamline processes.
  • Assess staff performance and provide coaching and guidance to ensure maximum efficiency
  • Ensure the smooth and adequate flow of information within the company to facilitate other business operations
  • Manage schedules and deadlines
  • Monitor costs and expenses to assist in budget preparation
  • Ensure operations adhere to policies and regulations

Qualifications

  • Proven experience of five (5) years as Director of Administration, Administrative Director or similar role for a defense contractor of employee size greater than 500 employees.
  • In-depth understanding of office management procedures and departmental and legal policies typical of a federal contractor. Commercial experience is not applicable.
  • Familiarity with financial and facilities management principles
  • Proficient in MS Office and databases
  • Experience with Deltek Costpoint is a plus.
  • Outstanding organizational and leadership abilities
  • Excellent communication and interpersonal skills
  • Ability to handle data with confidentiality
  • Good problem-solving abilities

Additional Information

  • Work Environment: Office setting . Some travel may be required for company-wide meetings or training.
  • Reporting Structure: Reports to the CEO / President /COO.
  • Salary: Salary is based upon candidate experience and qualifications, as well as market and business considerations.
  • Pay Range: $120,000 minimum to $160,000 maximum based on years of experience relevant to the position and company size experience.
  • Location: Onsite at Corporate Headquarters in Huntsville, Alabama, no teleworking.
