Overview
The Administrative Assistant provides general administrative support to the Saatchi & Saatchi Wellness leadership team. This role involves handling a variety of tasks, including but not limited to, scheduling appointments, managing correspondence, organizing files on Box, and assisting with special projects. This is an entry-level position that offers an opportunity to gain valuable administrative experience and contribute to the smooth operation of the office.

Compensation Range: $49,305 - $65,000 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met. For regular roles, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off. Responsibilities
- Administrative Support:
- Schedule meetings, appointments, and team events
- Prepare and distribute reports, presentations, and other materials for client meetings
- Handle expense reports and coordinate travel arrangements
- Handle corporate card expenses for HR & Finance departments
- Manage and organize documents on Box
- Handle incoming and outgoing correspondence
- Communication:
- Provide professional and courteous customer service to internal and external clients
- Draft and edit correspondences, memos, and emails
- Organization:
- Manage and update agency official distribution lists
- Assist with ordering catering for internal/client meetings
- Other Duties:
- Maintain confidentiality of sensitive information
- Contribute to team effort by accomplishing related results as needed
- Provide back-up for Executive Assistant to President when out of office
- Assist with agency client and team events
- Assist Strategy team with sending out calendar invites to agency for Knowledge Bites meetings
- Assist with special projects as needed
- Bachelor's Degree preferred
- Previous experience in an administrative role preferred
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Ability to work independently and as part of a team
- Ability to handle multiple tasks and prioritize effectively
- Ability to maintain confidentiality
