Proposal Coordinator

We are seeking a motivated and detail-oriented Proposal Coordinator to support our Turnkey Solutions (TKS) Division. This individual will coordinate and track all proposal activities and prequalification packages, maintain Salesforce data for the division, and provide overall administrative support for business development and proposal efforts. The Proposal Coordinator will also be responsible for assembling all supporting documentation and ensuring the timely submission of high-quality proposal packages.
Key Responsibilities
- Lead and coordinate the development of proposals—including technical and commercial components—aligned with SPS execution strategies and client expectations.
- Manage proposal timelines in collaboration with the Project Management Office (PMO) to ensure timely delivery.
- Maintain and track Salesforce entries for the TKS Division; generate weekly and monthly reports for leadership as needed.
- Input and update all opportunity data in Salesforce to reflect accurate pipeline tracking.
- Organize and maintain proposal prequalification documentation (resumes, org charts, project histories, safety and financial documents, etc.).
- Prepare and manage standard proposal templates, including budgetary letters, pricing documents, and supporting materials.
- Support marketing efforts, including development and submission of marketing content and news releases in collaboration with the Marketing Department.
Required Qualifications
- Bachelor’s degree preferred (Engineering, Business, Communications, or related field).
- Excellent written and verbal communication skills with strong attention to detail.
- Demonstrated experience in proposal development and/or technical writing preferred.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong understanding of Salesforce CRM—experience with data entry, reporting, and opportunity tracking is required.
- Strong organizational and time management skills, with the ability to manage multiple priorities simultaneously.
- Ability to work independently and adapt to fast-paced, deadline-driven environments.
- Flexibility to support proposal development efforts outside regular business hours as needed.
