Schedule:
Mon-Thurs: 4:30pm-9:30pm
Every other Saturday: 7:00am-3:30pm
Job Summary:
Provide secretarial, clerical and administrative support to ensure that services are providing in an effective and efficient manner.
Key Results Areas:
- Maintain an accurate phone message system for the administrative staff.
- Maintain the programs' waiting list with updated information like phone numbers and program of interest.
- Contact new enrollments.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Greet visitors or clients, determine nature and purpose of visit, and direct them according their needs.
- Answer, transfer and screen phone calls, taking messages, provide information and scheduling appointments.
- Provide information about the program, such as services provide, training program and classes.
- Perform administrative support tasks ( including contacting students for class cancelation or for program orientation)
- Operate office equipment, like fax machines, copiers, or phone systems.
- Prepare and maintain update the office supplies inventory and submit monthly purchase order to the immediate supervisor.
- Create flyers or brochures for upcoming events.
- Add visitors contact information in the program database.
- Confirm employers participating in the weekly job fairs and send out promotional emails.
- Other duties as assigned by supervisor.

Education, Training or Certification:
Certificate from college or technical school or equivalent combination of education and experience
Experience:
One to two years related experience and / or training.
Language Skills:
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, customers, suppliers and the general public.
Mathematical Skills:
Basic Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Reasoning Ability:
Intermediate Skills: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving variables and the need to deal with exceptions and changes in a variety of situations.

None.
Other skills and abilities, including computers, tools, equipment, technical knowledge:
Proficient in Microsoft Office programs, bilingual skills (Spanish/English) required. Flexible schedule, including evening hours and weekends.
