What are the responsibilities and job description for the Archival Services Specialist position at Sacramento Public Library?
The Archival Services Specialist manages archival and special collections held by the Sacramento Public Library. They identify and acquire materials to develop the collection related to the life and history of the Greater Sacramento Region, as well as other relevant subject areas. The Archival Services Specialist maintains archival holdings consistent with archival standards, develops procedures related to archival processes, and maintains a budget for the Sacramento Room, including for the acquisition of collections and implementing exhibits and programs.
The ideal Archival Services Specialist candidate has the knowledge of archival best practices, emerging trends in the archival field, digitization and reformatting of materials, and knowledge of Sacramento history. They also have experience in outreach and relationship building with local communities to assist in incorporating diverse voices into special collections and archives. Certification in Archival Management or comparable area preferred.

- Organize and catalog archival holdings in a manner consistent with archival standards, determining the appropriate level and type of arrangement and description needed.
- Maintain an electronic inventory, register, or other finding aid for holdings.
- Develop and implement appropriate preservation and conservation procedures for archival materials.
- Coordinate the copying, digitization, or reformatting of archival materials for preservation and access.
- Prepare statistics and reports as needed.
- Work with the Collection Services Department to acquire materials related to the life and history of the Greater Sacramento Region, California, and other special collections.
- Participate in the development of annual library budget planning for Sacramento Room funding, and work with Library Management to administer the Sacramento Room budget.
- Screen archival holdings for potentially sensitive materials, and coordinate access procedures for them.
- Develop and keep current written procedures and manuals related to Sacramento Room processes.
- Provide Sacramento Room research services and assistance to library patrons.
- Manage the selection, acquisition, and other collection development related activities of items for the Sacramento Room.
- Represent the Sacramento Public Library with local and state historical societies and other relevant external organizations related to the life and history of Greater Sacramento Region and California.
- Keep current on contemporary standards, procedures, and practices related to archival processes.
- Conduct outreach activities to community organizations including but not limited to senior housing and centers, chambers of commerce, service organizations, shelters; represent SPL at outreach events.
- Identify challenges in the delivery of services and recommend solutions.
- Plan, develop and present formal and informal presentations.
- Develop, prepare and maintain reports, summaries, files and databases.
- Travel throughout the Sacramento area.
- Perform other related duties as assigned.

- Effectively coordinate activities and relationships on behalf of the Library.
- Operate personal computer and software programs.
Two (2) years’ experience as a Librarian or working with special collections and archives is required.
EDUCATION
Master’s degree in Library Science from an American Library Association (ALA) accredited university or Master’s Degree in Archival Science or Public History from an accredited university is required.
