FLSA Status : Exempt, Full-time

Salary (M2) : Hiring Range : $68,640 - $74,880 per year; Salary Range : $68,640 - $83,200 per year

General Summary :

Reporting to the Chief Operating Officer, the Facilities Manager oversees a wide range of professional work including the design, maintenance, and logistics of Facilities in support of SSPCA programs and services. The Facilities Manager also serves as a liaison between campus infrastructure (i.e. facilities, grounds and maintenance, public safety, etc.), SSPCA Leadership Team, and vendors to facilitate effective campus operations and programs. This individual will have the ability to see the broadest possible view of an issue or challenge as well as the impacts of those issues and challenges from a narrower, department level perspective.

This role requires the ability to understand facility and equipment maintenance services and future needs, as well as communicate with staff and vendors to problem-solve, maintain, and improve buildings, grounds, and equipment. This position will also coordinate and, at times, may assist with building and grounds maintenance, including but not limited to roofing, landscaping, electrical, plumbing, and heating / cooling systems. Due to the nature of the position, the Facilities Manager will be required to oversee aspects of employee requisitions and logistics of repairs or maintenance.

Essential Job Functions :

  • Supervises Facilities staff, including prioritizing workload, and writing and delivering performance evaluations that are timely and constructive.
  • Oversees daily operations of campus facilities, including monitoring and inspecting all buildings, grounds, and equipment, ensuring that utility systems are fully operational and that preventive maintenance schedules are being followed.
  • Coordinates, schedules, monitors progress, and communicates concerns and impacts of routine and emergency repairs and maintenance, facilities services, and building renovations.
  • Manages facilities service contracts, including building and maintaining vendor relationships.
  • Manages the purchase of maintenance and janitorial products, as well as non-computer-related office equipment and furniture.
  • Analyzes existing facilities services compared with organizational and departmental needs, plans, and budgets. Regularly participates in meetings with staff and shares ideas to improve facilities in support of SSPCA programs and services. Researches, organizes, and implements new and / or modified systems accordingly.
  • Performs risk assessments and develops response strategies.
  • Plans for and manages the budget for facilities services, maintenance, building renovations, capital equipment, and space allocations in support of SSPCA operations.
  • Compiles, analyzes and researches data for special projects and reporting.
  • Manages vehicle fleet.

  • Establishes and maintains cooperation, understanding, trust, and credibility with staff at all levels of the organization.
  • Acts as a trusted advisor, and coordinates quick, reliable, cost-effective delivery of facility services to meet business needs.
  • Maintains communication with management and ensures that staff is notified of concerns as appropriate.
  • Monitors needs and provides input on emerging trends and developments that could result in efficient and effective facility solutions for the Organization.
  • Committed to a high standard of safety and complies with all safety laws and all of the employer's safety policies and rules, and must be willing to report safety violations and potential safety violations to appropriate supervisory or management personnel.
  • Treats all animals humanely, with compassion and concern, both on and off the job and transmits these values to others.

  • Requirements

    Knowledge, Skills, and Abilities :

  • Familiarity with building upkeep, structural issues, and grounds maintenance.
  • Thinks critically and analytically to solve a range of problems and assist with diagnostic issues.
  • Strong written and oral communication skills. Can articulate technical information to non-technical staff in a way that is easy to understand. Can effectively state intentions and expectations while providing users and peers with appropriate information in a timely manner.
  • Effective supervisory and leadership skills.
  • Excellent planning and organizational skills.
  • Ability to read, analyze and interpret documents such as safety rules, operating and maintenance instructions and procedural manuals. Ability to write reports, business correspondence, and procedural manuals.
  • Ability to effectively work with both internal and external customers and vendors.
  • Ability to be patient, approachable, and supportive.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, employees, and the general public.
  • Works independently in the absence of supervision.
  • Must maintain confidentiality of sensitive material.
  • Education and Experience :

  • Bachelor's Degree in facilities or construction management, business management, or a related field, or equivalent combination of education, certifications, and experience preferred.
  • Requires at least two (2) years of supervisory experience.
  • Requires at least three (3) years of experience in the field or in a related area.
  • Valid California Driver's license, clear driving record for at least one year prior to application, and ability to safely operate shelter vehicles.
  • Physical Requirements :

  • Must stand, walk, sit, bend and stoop frequently to perform duties. Have the ability to perform prolonged strenuous physical activity, including lifting and carrying objects weighing up to 50 pounds alone or up to 100 pounds with the help of fellow employees for short distances.
  • Any allergic condition that would be aggravated from exposure or through contact with animals or chemicals used to sanitize facilities, vehicles or equipment, may be a disqualification.
  • Working Conditions :

  • May be exposed to hostile or abusive members of the public. Must be able to deal with an often times emotion-charged public and carry a fast paced and changing work load which at times can be stressful.
  • By nature of the industry, there may be occasional exposure to dead, injured, sick, unruly, vicious, and / or dangerous animals in addition to exposure to parasites and to infectious diseases.
  • Must be available and willing to work such weekends, holidays, overtime, and attend mandatory training and meetings as the employer determines are necessary or desirable to meet its business needs.
