Position Summary

Under the general supervision of the Director of SARC, the Coordinator of Student Athlete Admissions & Retention is responsible for coordinating the admissions reviews, evaluations, and ultimate admissions decisions for all student-athlete prospects. This includes coordinating with the Office of Athletic Compliance and Admissions, Outreach, and Orientation to meet all NCAA certification and admission processes and timelines. This position also coordinates retention efforts and services with student-athletes to resolve, both proactively and reactively, any issues affecting their athletics eligibility and their educational / career goals. The incumbent will coordinate specific programming for a high-profile sports program and will work with these student-athletes beginning as early as when they are in high school being recruited by Sacramento State coaches and continuing through (and sometimes beyond) graduation. This positions responsibilities also requires the incumbent to understand and apply complex and varying rules (e.g., NCAA rules, Big Sky Conference rules, Sacramento State academic rules / policies) to a diverse population of students while helping them balance the demands of their academic and athletic pursuits.

This position is directly responsible for specific coordination with (1) all sport teams recruiting coordinators; (2) study skills support for designated student-athletes; (3) summer school enrollment / NCAA opt out requirements for student-athletes;

This position requires extensive knowledge of university programs and services for students and the ability to develop and maintain effective working relationships with a wide range of administrators, faculty, staff, students, campus programs, and the public. This position works in a fast-paced, deadline driven office with a high level of student and staff / faculty contact.

FLSA :  Exempt (Not eligible for overtime compensation)

Anticipated Hiring Range :  Anticipated hiring at the minimum of the classification salary range ($6,320 per month)

CSU Classification Salary Range :  $6,320 per month - $9,014 per month

Department Information

The Student Athlete Resource center (SARC) provides assistance to student-athletes in their transition to Sacramento State. SARC is the primary resource for student-athletes as we focus on academic advising, NCAA eligibility, mentoring, and retention and graduation efforts.

Minimum Qualifications

Knowledge and Abilities :

The following knowledge and abilities as well as those listed at lower levels in the Student Services Professional series are required for appointment to this classification.

Thorough knowledge of the policies, procedures, and practices of the program area to which assigned or the ability to quickly acquire such knowledge. General knowledge of the policies, practices, and activities of Student Services programs outside the program to which immediately assigned; general knowledge of the principles, problems and methods of public administration, including organizational, personnel and fiscal management; general knowledge of advanced statistical and research methods.

Ability to carry out very complex assignments without detailed instructions; advise students individually or in groups on varied and complex matters; determine the appropriate course of action and proper techniques to utilize while engaged with individuals and groups in personal interactions of a sensitive nature; reason logically and analyze and solve organizational and operating problems of one or several program areas; plan, coordinate and initiate actions necessary to implement administrative or group decisions or recommendations; analyze and define complex organizational, policy or procedural problems, collect and evaluate data, draw valid conclusions and project consequences of various alternative courses of action; understand the roles and responsibilities of others and to gauge relationships accordingly by taking into account the variety of the interrelationships, motivations and goals of the members of the organization served; and establish and maintain effective, cooperative and harmonious working relationships in circumstances which involve the denial of requests or the necessity to persuade others to accept a different point of view.

Possession of these knowledge and abilities is typically demonstrated through the Experience requirements below.

Experience :

Possession of these knowledge and abilities is typically demonstrated through the equivalent to four years of progressively responsible professional student services work experience which includes experience in advising students individually and in groups, and in analysis and resolution of complex student services problems.

A masters degree in Counseling, Clinical Psychology, Social Work or a job-related field may be substituted for one year of professional experience. A doctorate degree and the appropriate internship or clinical training in counseling, guidance or a job-related field may be substituted for two years of the required professional experience for positions with a major responsibility for professional, personal or career counseling.

Education :

Equivalent to graduation from a four-year college or university in a related field plus upper division or graduate course work in counseling techniques, interviewing and conflict resolution where such are job related.

Required Qualifications

Experience :

  • University student services experience (e.g. advising, admissions, residential life, student programming, or development)
  • 4 years advising experience working with NCAA Division I student-athletes
  • Experience working with students from various ethnic and socioeconomic backgrounds
  • Experience supervising and providing lead work direction
  • Experience with strategic planning and project management

Knowledge, Skills, Abilities

  • Ability to independently prioritize, plan, and organize work in a fast-paced environment
  • Strong interpersonal skills and the ability to provide direct programs and / or services to a diverse student population
  • Excellent verbal and written communication skills and a demonstrated ability to communicate effectively in a diverse environment
  • Ability to compile, prepare, write, and review reports
  • Proficiency using standard office software packages (e.g., Microsoft Office Suite)
  • Familiarity working with school-based record / data systems / software (example : PeopleSoft)
  • Ability to understand, interpret, analyze, and apply complex rules, regulations, and procedures
  • Ability to understand and analyze the nature of problems presented by constituents, present solutions, and project the consequences of alternative courses of action
  • Ability to carry out complex assignments without detailed instructions
  • Knowledge of change management principles, strategies, and techniques required for effectively planning, implementing, and evaluating change in the organization

  • Experience working with at-promise students and sports teams
  • Experience successfully supervising and training students and professional staff in a higher education environment
  • Experience using a student information system, such as CMS / SA used in the CSU system; an athletic compliance software like ARMS, Teamworks, etc.; and a CRM like EAB.
  • Extensive knowledge and expert-level understanding of the NCAA Division I structure and extensive expertise in NCAA Progress-towards degree (PTD) bylaws
  • Extensive knowledge and expert-level understanding of general 4-year university academic policies, admissions procedures, grading policies, testing procedures, registration procedures, graduation evaluation procedures, and campus academic standing policies
