Position Summary

The Department Coordinator for the Geology Department serves as the primary person responsible for supporting administrative functions in the Department.  The coordinator maintains the class schedule in CMS, gathers and organizes course syllabi and textbook adoptions, processes student adds / drops, prepares departmental correspondence, and assists faculty and staff with questions and administrative support.

In addition, the Department Coordinator serves as an administrative support coordinator for the Sacramento State Planetarium.  In this capacity, the incumbent will maintain the planetarium schedule, facilitate hiring of student assistants to provide planetarium shows, and work with the Planetarium Director on social media and advertising for planetarium shows.  Furthermore, the incumbent is responsible for maintaining driver authorization paperwork and field trip liability forms for Geology, Mathematics and Statistics and Physics and Astronomy Departments.

FLSA :  Non-Exempt (Eligible for overtime compensation)

Anticipated Hiring Range :  $4,058 per month - $4,300  per month

CSU Classification Salary Range : $4,058 per month - $6,653 per month

Department Information

The Geology Department is an academic department within the College of Natural Sciences and Mathematics. The Department offers numerous lecture and lab sections of a variety of lower-division courses covering general education requirements. The upper-division lecture, lab and field courses concentrate on the Geology major, fulfilling B.A., B.S. and M.S. degrees. There are currently eight full-time and several part-time faculty, and one technician in the department which serves about 100 Geology majors.

Minimum Qualifications

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These entry qualifications would normally be obtained through a high school program, technical / vocational program, or their equivalents combined with several years of related office work experience.

Required Qualifications

  • Experience coordinating and / or performing entire clerical and administrative support functions in a complex administrative environment
  • Experience setting priorities, meeting deadlines, multi-tasking, and evaluating and making recommendations pertaining to operational and procedural matters
  • Basic knowledge of and ability to follow standard office procedures (e.g. filing, maintaining of records, answering phone and transferring of voicemail messages)
  • Expertise with office software packages (e.g., Microsoft Office, Adobe Acrobat) and office equipment and the Internet
  • Ability to provide lead work direction, training, and guidance to student assistants or other office staff and provide input to performance evaluations, when needed.
  • Ability to work with frequent interruptions
  • Ability to work creatively and independently under general direction related to departmental goals
  • Ability to prepare correspondence and utilize spreadsheets and databases
  • Excellent written and verbal communication skills with the ability to convey information clearly and accurately (e.g., reports) and with mastery of English grammar, punctuation, and spelling.
  • Skilled in interaction with others at all levels within and outside the university, including in sensitive interpersonal situations
  • Demonstrated ability to work effectively, inclusively, and sensitively with people from diverse backgrounds
  • Experience with promoting diversity, equity, and inclusion
  • Commitment to maintaining a welcoming and inclusive work environment with diverse colleagues and constituents including faculty, students, staff, and members of the community
  • Demonstrated ability to assist with meetings and events coordination
