Overview
We are seeking a proactive and experienced Facilities Manager to oversee the maintenance and operations of our facilities. The ideal candidate will be responsible for ensuring that all systems function efficiently and effectively, while also leading a team of maintenance professionals . As Facilities Manager you will oversee routine maintenance and security, assisting with budgeting, reporting, planning and construction. This position will proactively maintain equipment, machinery, buildings and vehicles. In this position you will plan, budget and schedule facilities related projects and maintenance needs for Sacred Heart Southern Missions.
Responsibilities
- Accountable for managing the maintenance operations and security for all SHSM facilities including buildings, equipment, machinery and vehicles.
- Assists with plans, budgets and schedules facility modifications, and ensures they comply with government health and safety standards; may personally perform maintenance functions as needed.
- Establishment and management of preventative maintenance schedules for all facilities within SHSM. This includes thoroughly documenting vendor services performed on behalf of SHSM or by SHSM’s staff. Documentation to be approved by leadership and proactively maintained by the facilities manager.
- Responsible for ensuring that all facilities are inspected in the daytime monthly and at nighttime quarterly. This includes completing a site inspection report for each facility that includes both interior and exterior grounds; this report will be signed off on by the local site manager or director and stored on the Facilities network share. Budget items are to be identified, itemized and documented in a separate spreadsheet.
- Assists with the management and continuous improvement of electronic work order system. This includes ensuring that all work orders are managed in accordance with departmental Priority and Service Level Agreements approved by leadership.
- Ensure that all documentation is current and maintained related to facility contracts, vendor and service agreements and that they are stored on the Facilities network share.
- Supervises, evaluates performance and provides guidance to facilities maintenance staff. This includes managing the supervisors at the SHSM administrative office, Sacred Heart School and Holy Family School. In partnership with Human Resources, assists with hiring and disciplinary processes.
- Assists with preparing, managing and monitoring the annual facilities budget. As part of budgeting process, obtain written bids for all work over $5,000 and maintain electronic bids organized by fiscal year budget.
- Oversee vendors and confirm all work is performed within SHSM by organization personnel or subcontractors. Ensure the accuracy of and approving of all bills and invoices prior to be submitting to the Director of Administration for final approval and payment.
- Establish and maintain detailed documentation for all fixed assets including complete inventory information and maintenance records for each asset.
- Oversees the monthly inspection process at Dehon Village. Identifies any maintenance needs per house and assists the housing associate to determine routine maintenance versus tenant damages. Oversee the management of work orders to ensure that any tenant damages are properly recorded and submitted to the Finance Department.
- Participate in project management plans and schedules for all new projects and renovations as approved by the Director of Administration. Complete projects on-time in accordance with the approved departmental project schedule.
- Remains up to date and establishes policies related to safety and training standards; monitors organization maintenance and custodial practices for compliance with applicable OSHA regulations.
Knowledge, Skills and Abilities Required
- Thorough knowledge of federal and state (Mississippi) construction, OSHA regulations and required safety procedures.
- Bachelor’s degree in business management or related field preferred; minimum of five years’ experience in the field of facilities management, construction and/or project management; three to five years relevant managerial experience. Broad knowledge of facilities management, vendor management, contract management, construction and project management.
- Proficient in Microsoft Office products, budgeting processes and project management.
- Excellent written and verbal communication skills.
- Strong interpersonal skills with employees at all levels of the organization.
- Strong organizational and supervisory skills; demonstrated skills in budgeting and related record keeping.
- Able to work independently and maintain confidentiality.
- Supports the vision and values of the organization.
