Job Description:

Assists Program Manager in the efficient operations and administration of the PA Program. Reports directly to Program Manager. Provides support to the Program Director, Medical Director, and principal faculty of the PA program. Participates in PA admissions process and supports didactic and clinical principal faculty in program development, implementation, and evaluation. Often will be first contact for students, SHU community and others.

PRINCIPAL DUTIES & RESPONSIBILITIES:

  • Front desk management for all students, visitors, and vendors while being mindful of faculty and academic confidentiality.
  • Coordinate and assist in daily operations of the Physician Assistant Studies office, including handling program phone calls and messages
  • Provide support for program director, program manager, and faculty in the areas of PA student admissions, adjunct faculty hiring, faculty travel and expense management, and confidential student records.
  • Update CalendarWiz student academic calendar, department shared calendar, conference room calendar, and miscellaneous faculty and student scheduling requests.
  • Prepare correspondence, agendas, invitations, flyers, spreadsheets, charts, and memoranda.
  • Actively participate in and support all aspects of the accreditation process
  • Respond to email and phone inquiries from faculty, staff and outside associates
  • Assist in communication with and to PA students
  • Oversee catering and logistics for student and faculty special events.
  • Participate and support coordinating components of annual student awards programs (White Coat Ceremony, Graduation).
  • Assist in planning and implementation of New Student Orientation Week.
  • Source and monitor office, classroom, and laboratory supplies. Purchase requisition management (EBuy).
  • Daily mail sort; office supply ordering; filing
  • Other duties as assigned


Requirements:

This position is located in Stamford, CT. Occasional flexible working hours to accommodate PA department needs (Monday through Friday, with occasional weekend work with advance notice.)

KNOWLEDGE AND SKILLS NEEDED:

Education and Experience:

The most competitive applicants will possess an Associate's Degree, and /or a minimum of 1-2 years related experience in an academic setting or business environment.

Skills and Knowledge:

  • Superior communication skills in person, on the phone, by email and voicemail
  • Demonstrated ability to work with others in a collegial and professional manner
  • Solid organization skills
  • Highest degree of integrity, professionalism, diplomacy and discretion
  • Ability to handle multiple tasks efficiently and effectively and meet tight deadlines
  • Ability to handle confidential information in a professional manner
  • Must be a self-starter and manage a busy office and program, with excellent anticipatory and prioritization skills
  • Good knowledge business, corporate, and academic cultures
  • Flexibility for occasional evening and/or weekend working hours (with advance notice).
  • Proficiency in Microsoft Office Suite
