Accounts Payable Job Responsibilities
- Process outgoing payments in compliance with financial policies and procedures
- Liaising with external companies or individuals that provide services related to the company’s core business activities
- Perform day-to-day financial transactions, including verifying, classifying, recording accounts payable data, and collecting invoices and receipts.
- Managing day-to-day operations of the company’s facilities including facilities maintenance, custodial services, and security.
- Reconcile the accounts payable ledger to ensure that all bills and payments are accounted for and correctly posted.
- Verify and investigate discrepancies, if any, by reconciling vendor accounts and monthly vendor statements
- Generate reports of accounts analysis, expense history, monthly total cost, and cost allocation.
- Coordinate with human resources to handle temp payroll and personnel databases
- Create project/expense cost-benefit analysis for senior-level officer's approval/review.
- Understand expense accounts and cost centers
- Understands compliance issues around accounts payable processes (W-9, sales tax, etc.)
- Create and manage the Purchase Order System
- monthly Assist with month-end and year end closing tasks, including expense accruals and deferrals
- Review general ledger and assist senior accounting officers if needed.
- Set up and forward new vendor information to the corporate and AP team.
- Generating bill rates for customer rebill
- Liaising with external companies or individuals that provide services related to the company’s core business activities
- Assist staff, managers, and senior-level officers as needed
- Reviewing all contracts before they are signed by executives or legal team
- Coordinating with other members of the executive team to implement company policies and procedures
- Create, prepare, and deliver reports to various departments
- Receive and forward communications to different staff and departments
- Perform clerical duties, such as filing, answering phone calls, and responding to emails
- Organize meetings and events. Also, ensure conference rooms and other meeting spaces are prepared before use.
- Ensuring team members have the supplies and resources they need to complete their assigned tasks on time and within their budget limits
- Planning and organizing different projects in the facility
- Ensure all parts of an assigned project are processed, organized, and progressing according to predetermined timelines and deliverable dates
- Assist in assigning project tasks to relevant parties and check-in for status updates
- Develop and maintain project performance databases that track overall progress and the accomplishment of specific milestones
- Monitor and assign resources appropriately to streamline project efficiency and maximize deliverable outputs.
- Report project outcomes and/or risks to the appropriate management channels as needed—escalating issues as necessary based on project work plans
- Act as a point of communication between company teams and external resources
- Assist regulatory compliance in new vendor processes and requirements.
- Deepen partnerships with outside resources—including third-party vendors.
- Reviewing purchase orders and making sure that they are complete and accurate before approving them
- Making sure that contracts are issued in accordance with company’s regulations regarding terms and conditions
- Negotiating prices for goods or services to ensure that they are fair market value
- Coordinating with vendors to ensure that they deliver on time and meet quality standards
- Managing inventory levels of materials and supplies, ensuring that there is an adequate supply for operations but not too much so as to go unused
- Reviewing purchase orders to ensure that they are complete and accurately describe the item being purchased and the price being paid for it
