Position Title: Intake Coordinator Reports to: CAC Intervention Manager

Summary:

The Intake Coordinator shall coordinate with multi-disciplinary team (MDT) members to schedule forensic interviews and medical examinations in cases of suspected child sexual and/or severe physical abuse; maintain the agency’s case tracking and client file systems; provide support to and serve as a primary contact for the agency with the MDT; provide statistical data reports on children and families served.

Salary Range: This is a non-exempt full-time position based on the current hiring guide and commiserate with experience. This position does not supervise other staff.

Travel: Limited travel will be required for educational and training purposes.

Special conditions: Ability to lift up to 20 pounds and drive to local businesses and trainings.

Qualifications: Bachelor’s degree in social work, counseling, criminal justice, psychology or related field or equivalent combination of education and experience. Effective communication and interpersonal skills to maintain positive relationships with individuals of diverse backgrounds, cultures, and experiences. An ability to work independently and function effectively as part of a team. Good computer skills to maintain case tracking system, complete forms, reports, and other written materials. Able to organize and solve problems. Adequate knowledge of the child forensic interview process and the concept of child advocacy centers and the benefits of a coordinated multidisciplinary response to cases of child abuse.

Duties and Responsibilities:

1. Present a warm and welcoming attitude with the ability to interact effectively with people from diverse backgrounds and cultures.

2. Greet clients and team members and direct them where to go or give them the information necessary.

3. Monitor the waiting room for cleanliness and safety.

4. Serve as primary agency contact for the MDT for processing requests for forensic interviews to coordinate the scheduling of forensic interviews with referring agency and other MDT members involved in the case.

5. Screen intake referrals for special needs such as follow-up intervention from Safe Harbor program staff, need for translation services, transportation issues, etc. and arranges for appropriate services to be provided.

6. Make follow up contact with relevant MDT members and parents as necessary prior to the scheduled interview and medical exams.

7. Coordinate and facilitate scheduling of forensic interviews and medical examinations of child abuse victims.

8. Maintain a positive relationship with MDT members to ensure program success.

9. Maintain files, records, and statistical data as required by the National Children’s Alliance for Accreditation.

10. Enter client data into agency case tracking system and provides statistical and demographic data reports on clients served.

11. Assist program staff with collecting relevant information from MDT members to update client case files as updated or corrected information becomes available.

12. Assist the CAC Intervention Manager with the development of intake and referral forms and protocols for use of the CAC facilities.

13. Prepare medical files and arrange medical appointments offered at the CAC for the children.

14. Participate in appropriate professional training opportunities to advance skills.

15. Maintain confidentiality of CAC activities and client information.

16. Provides clerical and telephone support for the agency.

17. Participate in community events on behalf of Safe Harbor.

18. Respond to subpoenas as required.

19. Effectively manage and resolve conflict

20. Build strong client relationships

21. Foster loyalty and enhance Safe Harbor’s reputation

22. Set effective goals to prioritize tasks, track progress, and maintain motivation in the face of challenges

23. Other duties assigned by the CAC Intervention Manager and Executive Director.

Job Type: Full-time

Pay: $20.00 - $21.00 per hour

Expected hours: 40 per week
