Job Title: Billing Coordinator
Status: full-time, non-exempt
Position Summary
The Billing Department leverages specialized expertise in both Behavioral Health and Insurance Policies to engage with Insurance Companies on behalf of Counselors and Patients. The role demands time management, organizational proficiency, and detail orientation. As the Billing Coordinator at Safe Harbor, responsibilities include guaranteeing precise and punctual invoicing, monitoring payments, and rectifying any discrepancies within billing records or within Safe Harbor’s Electronic Health Record (EHR) systems. The incumbent in this position plays a pivotal role in cultivating favorable client relationships by presenting transparent and concise invoices and handling inquiries related to billing.
Position Responsibilities
1. Demonstrate proficiency in computer knowledge and skills
2. Utilize knowledge of codes, including CPT, ICD-10, and HCPCS.
3. Exhibit strong interpersonal skills to foster effective communication and collaboration within the team.

5. Apply knowledge in medical terminology and fundamental mathematical concepts.
6. Fluency in English; bilingualism is advantageous.
7. Uphold a high degree of attention to detail, meticulousness, and trustworthiness.
8. Adhere to laws and best practices regarding customer interactions and data handling.
9. Accurately assign codes for medical services, diagnoses, treatments, and related procedures.
10. Generate invoices for patients, insurance companies, law office and organizations billing for claims and/or payments.
11. Track and collect payments, including setting up payment plans for outstanding bills.
12. Correct rejected insurance claims and coding errors.
13. Manage patient insurance claims.
14. Submit billing data to the appropriate insurance providers.
15. Handle telephone calls with clients regarding copay, coinsurance, and deductibles.
16. Manage calls from insurance companies to discuss rates, authorization, and eligibility.
17. Obtain and track insurance authorizations.
18. Record revenue in clients' accounts using Safe Harbor’s Software program.
19. Manage aged accounts and update spreadsheets documenting account activities.
20. Prepare invoices and update client records, managing account status and balances while identifying inconsistencies.
21. Maintain records of all payments by clients, insurance, and follow Safe Harbor procedures for storing EOBs received.
22. Compile and prepare detailed monthly reports to provide comprehensive insights into key performance metrics and organizational activities.
23. Process credit card transactions daily for the assigned practices.
24. Run end-of-day processes daily to process all claims.
25. Provide solutions to any relevant client problems.
26. Ensure proper coding of medical services, diagnoses, and locations to approve claims.
27. Prepare and submit insurance claims.
28. Perform data entry and record-keeping.
29. Communicate with clients, staff, and insurance companies regarding insurance claims and payments.
30. Prepare claims on Portals and paper for selected insurance companies.
31. Maintain files on each insurance company and retain old records for 7 years.
32. Perform any other duties as assigned.
Qualifications
Education
High school diploma or equivalent.
Experience
Knowledge of medical or mental health and billing services is highly preferred. 2-5 years’ experience as a medical billing and coding specialist. Certification from the American Academy of Professional Coders (AAPC) preferred not required.
