Job Summary:
The Accounting Associate is responsible for every aspect of the organization’s finances.
- Possess a background in accounting and administrative tasks including policy development and administration
- Able to work independently with little supervision to include making decisions on own accord
- Possess at least 2 years previous experience in accounting, business management and/or office management
- Possess a bachelor's degree in accounting or this may be waived in lieu of at experience in the accounting field
- Possess computer skills to include e-mail, Microsoft Office Programs and proficiency in Quickbooks
- Able to utilize the resources available both in the community and in house
- Able and willing to submit to all pre-employment and new hire screening requirements
- Able to meet I-9 documentation requirements
- Able and willing to adhere to all shelter policies and procedures.
- Manage the budget preparation and performance analysis.
- Manage all accounts payable functions to ensure authorized expenditures are paid in a timely and accurate manner.
- Manage all accounts receivable functions to ensure timely processing and posting of all receipts.
- Reconcile monthly bank statements.
- Prepare monthly financial reports on a timely basis and distribute to Executive Director and Board Members as needed/requested.
- Prepare and complete all required financial reporting to each funder.
- Provide financial analysis as requested.
- Manage time sheets, salary adjustments, and pay procedures for all staff. Ensure timely and accurate payroll processing.
- Prepares for and manages annual audit processes (includes preparation of IRS 990) with external CPA firm and RFP for auditor rotation every three years; send audit to all funders and the Georgia Department of Audits and Accounts within required timeframe.
- Maintain spreadsheets to track all employee training, PTO accruals, attendance and other stats as needed/requested.
- Assist in development of, amend and/or maintain administrative policies and procedures to ensure compliance with all funders as well as legal and regulatory requirements. Supply reports as needed to the Executive Director and Programs Director to help with enforcement and compliance.
- Maintain all accounting files in accordance with legal and regulatory requirements.
- Assist with research and cost comparisons to maintain cost effectiveness and quality, including technology and computer support.
- Provide support to Board of Directors for fundraising activities and other Board functions; will serve as the point of contact for all fundraising events and maintain all fundraising spreadsheets.
- Maintaining an accurate financial filing system with all receipts
- Provide assistance as needed with research for products and services
- Provide assistance as needed with program development
- General office duties such as typing, bookkeeping, filing, faxing, etc.
- Coordinate materials for meetings and training sessions and other activities of the organization
- Maintain a current donor list
- Attends required staff meetings and trainings.
- Meets on-going training requirements for your classification.
- Assist in other areas such as office coverage, family advocacy, and shelter advocacy when needed.
- Work with staff members, volunteers and interns to provide for a welcoming environment for all clients, promote a positive and effective relationship between staff, volunteers and clients. Foster a positive atmosphere throughout the organization.
- Participates in the development and implementation of organizational goals and objectives. Regularly reviews those goals and objectives to ensure they are current and relative. Helps implement programs, plans, policies and procedures to meet those goals and objectives.
