Summary/Objective
The Grant Manager will report to the Chief Development Officer and collaborate closely with Director of Programs and finance teams to oversee pre-award, award, and post-award grant activities. This position is responsible for managing the entire lifecycle of grants—from identifying funding opportunities, supporting proposal submissions, to ensuring compliance and managing reporting. The ideal candidate is highly organized, detail-oriented, and experienced with state, federal, local, and foundation grants, with a commitment to supporting the organization’s funding strategy.
Essential Functions
Pre-Award Responsibilities
- Funding Research and Strategy: Identify and research potential funding opportunities aligned with the organization’s mission and goals. Share findings with program and development staff to maximize funding potential.
- Proposal Support: Guide staff through the proposal development process, ensuring applications meet agency guidelines and funder requirements.
- Budget Development: Assist in creating budgets and other financial components of grant proposals to ensure they are realistic, complete, and compliant with funder guidelines.
- Documentation and Compliance: Prepare and organize required institutional documentation, boilerplate language, and reference materials to support proposals.
- Internal Approvals and Deadlines: Track the progress of proposals and approvals to ensure timely submission of applications.
- Policy Interpretation: Interpret and communicate both SafeHouse Outreach and funder policies and procedures to ensure clear understanding and compliance throughout the application process.
Award and Post-Award Responsibilities
- Grant Setup and Orientation: Organize and conduct grant kickoff meetings with awardees to ensure understanding of funding terms, compliance requirements, and reporting expectations.
- Financial Oversight and Compliance: Work with program and finance teams to monitor grant budgets, tracking expenses to ensure adherence to approved budgets and reporting guidelines.
- Monthly Invoicing and Reimbursement:
- Prepare and submit detailed monthly invoices for grant-funded expenses, ensuring documentation and alignment with budgetary guidelines.
- Coordinate with finance staff to track expenses, resolve discrepancies, and manage funder communications related to invoicing and reimbursements.
- Report Preparation and Submission: Compile, review, and submit required progress and financial reports to funders on time, maintaining a strong focus on accuracy and compliance.
- Modifications and Close-Outs: Handle requests for budget adjustments, no-cost extensions, and award modifications. Ensure smooth grant close-out, including the preparation of final reports and the organization of all required documentation.
Other Responsibilities
- Training and Support: Provide guidance and training to program staff on grant policies, procedures, and compliance requirements.
- Documentation Management: Maintain organized grant files in electronic and physical formats, ensuring easy access to all records, agreements, and communications.
- Process Improvement: Contribute to the development and refinement of grant administration policies and procedures to improve efficiency and maintain compliance with funding agency regulations.
- System Management: Manage grant tracking software and electronic platforms to monitor grant applications, budgets, and deliverables.
Required Qualifications
- Bachelor’s degree in finance, business administration, or a related field, with at least four years of experience managing federal, state, local, or foundation grants.
- Strong organizational, analytical, and financial management skills, including experience in budgeting and expenditure tracking.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with grant management platforms (e.g., GiveEffect).
- Excellent written and verbal communication skills, with the ability to interpret complex regulations and prepare accurate reports.
- Demonstrated ability to work independently, prioritize tasks, and manage multiple deadlines.
- High attention to detail and experience working with diverse communities in a nonprofit setting.
Physical Demands
- Regularly required to sit, walk, use hands for office tasks, operate office equipment, and communicate clearly.
- Occasionally required to stoop, kneel, and lift/move items up to 15 pounds.
