Qualifications and Skills: Bachelor’s degree or equivalent professional experience in education, public health, communication or a related field. Experience utilizing a client database system to collect, analyze, and compile programmatic reports preferred. The Quality Assurance & Training Coordinator must exhibit excellent computer skills utilizing a database management system with attention to detail and protecting confidential records. Must exhibit excellent communication, time management, planning, and interpersonal skills. Must be able to pass a level two background test, maintain a valid driver’s license and have reliable transportation to work at various locations with flexible hours. This job may require working on nights, weekends and holidays. Must possess a high level of emotional intelligence, the ability to make decisions that create safe and positive outcomes, and must adhere to SafeSpace ethics, policies, procedures, and contractual standards.

Job Summary: This position plays a crucial role in ensuring the overall quality and compliance of our direct service records within our Emergency Shelter and Outreach department. Responsible for conducting internal audits and monitoring performance metrics to ensure compliance with SafeSpace’s ethics, policies and procedures including contractual requirements with state, federal and local standards. Responsible for conducting electronic and paper files reviews, facilitating documentation training for staff, basic data and statistical reporting, and coordinating mandatory trainings required by all staff within the agency.

Training Requirements: Must successfully complete CORE Competency training provided by the agency within 90 days of employment and participate in ongoing mandatory education and skills training on relevant topics as required by statutory funding, certification of the agency or personnel, or as identified to improve employee performance. Must maintain annual training requirements outlined in the employee manual.

While performing the duties of this job, the employee is regularly required to sit, talk, hear, and use hands. The employee is frequently required to walk and reach with hands and arms. Specific vision abilities required by this job include close vision and ability to adjust focus.

Principle Job Responsibilities:

  • Ensure all direct service programmatic activities reported and documented comply with state, federal and administrative standards.
  • Ensure contractual requirements are documented and collected accurately for monthly, quarterly, and yearly statistical reports.
  • Assist in completing components of agency programs Board Report, Annual Report, Victims

Against Crimes Act ( VOCA) Quarterly Reports, Department of Children's and Families Monthly, Quarterly and Annual Program Reports and additional monthly contractual reports.

  • Develop and implement quality assurance processes and procedures to ensure compliance with the agency’s required standards and regulations of service records.
  • Conduct on-going audits and quality assurance reviews to evaluate the effectiveness and efficiency of existing data collection practices and provision of services documented.
  • Monitor and analyze performance metrics to identify trends, strengths, and areas of concern.
  • Report on quality assurance findings and provide recommendations for corrective actions in collaboration with leadership staff.
  • Actively participate in monthly case staffings to report on quality assurance findings and ensure documentation procedures are followed.
  • Responsible for organizing and participating in the program’s professional development progress and identifying training needs for the agency’s staff in collaboration with leadership and Human Resources.
  • Develop, coordinate, and facilitate internal training sessions to educate staff on quality standards, internal processes and procedures, and best practices to serve survivors of domestic violence and their children.
  • Identify and promote training opportunities for all staff that includes new initiatives to address domestic violence, conflict de-escalation, mental health first aid, cultural humility, and safety planning.
  • Coordinate and maintain the in-service annual mandatory training schedule.
  • Participate in other projects and assists with additional duties as requested by the Director of Programs.
