Position Summary
The Office Administrator plays a pivotal role in ensuring the efficient functioning of the organization by managing administrative, financial, and bookkeeping responsibilities. Reporting directly to the Deputy Director, the Office Administrator supports organizational goals to advance permanent land and water protection and habitat restoration. The person hired for this position will be in the Pocatello, Idaho office. This position requires knowledge and experience in business, finances, and office management. Accurate data entry, attention to detail, note taking, communication, and customer service skills are required.
Core Responsibilities
Administration and Organization Advancement
- Respond to phone and email inquiries and maintain professional correspondence.
- Schedule and coordinate meetings.
- Take meeting minutes at staff meetings and Finance Committee meetings.
- Assist the Board of Directors and staff with administrative needs.
- Resolve technical issues in coordination with IT contractor.
- Assist with the recruitment, hiring, and onboarding of interns and staff.
- Provide general office support to ensure smooth daily operations.
Finances, Bookkeeping, and Grant Administration
- Process and submit invoices, track expenses and revenue (unrestricted and restricted), and reconcile accounts monthly with accounting firm.
- Lead the annual audit process and Form 990 filing with external CPA firm.
- Track and manage grant allocations, budgets, and project-specific finances.
- Active member of the Finance Committee.
- Assists Executive Leadership with annual operational budget development and bi-weekly financial account monitoring.
- Collects W9s and deposits checks.
- Works with Development and Outreach Coordinator to track member and donor contributions using DonorPerfect and send acknowledgement letters.
Preferred Experience and Qualifications
Undergraduate degree or higher from an accredited college or university (business or accounting degrees preferred), or equivalent experience. Excellent organizational skills; attention to detail; positive attitude; flexibility in work schedules; and passion for conservation. Experience with Microsoft Office software, including Excel, and QuickBooks (or similar software). Experience with DonorPerfect software a plus; willingness to be trained if needed.
Office Location
The Office Administrator will have a front desk office space located at 109 N Arthur Ave., Suite 300, Pocatello, Idaho 83204.
Compensation and Benefits
The starting salary for this position is $50,000.
