Summary
Responsible for carrying out the general administrative tasks of the agency typically in support of the Executive Director and Board of Directors. Leads communications activity including internal, external and social media.
Essential Duties
· Assists in the coordination of programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling the event budget.
· Prepares records such as agendas, notices, minutes, and resolutions for corporate meetings.
· Prepares and publishes approved messaging on social media (such as FB, Twitter, IG, and LinkedIn); maintain agency website; coordinate with 3rd party providers as needed.
· Carry out duties in a professional and confidential manner to maintain credibility and trust with senior management, staff, Board of Directors and other stakeholders.
· Supports the development and implementation of special projects, grants, programs, and initiatives.
· Maintains the Executive Director’s day-to-day schedule and manages inbound messaging/calls.
· Supports the Executive Director in developing and managing agency public relations and media strategy including the Agency Annual Report and other communications.
· Collaborates with the creative team to produce agency publications including newsletters, milestone events, and video content, for example.
· Prepare and publish approved messaging and communications both internally and externally; field and respond to inquiries; escalate sensitive or urgent matters to the Executive Director for response.
· Prepares confidential correspondence, minutes, reports, and other documents for Board meetings and staff/leadership meetings.
· Manage the follow up of tasks and actions resulting from such meetings; collaborate with action item owners to understand bottlenecks or resource requirements needed to execute the action.
· Coordinate and participate in agency functions as well as represent the agency in external functions and events.
Job Competencies
· Ability to work and communicate effectively with a diverse population of stakeholders
· Basic knowledge of grant writing and administration
· Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms, and apps.
· Be self-motivated, professional, courteous and empathetic
· Highly effective verbal and written communication skills
· Highly organized with the ability to manage multiple projects and tasks to timely completion
Education and/or Experience
· Bachelors degree in Business, Management, Administration, Communications or related field (required)
· Minimum 3 years’ experience working with Senior Leadership in an administrative, communications or office manager role (required)
· Experience working in a non-profit environment (preferred)
Certificates, Licenses, Registrations
Must have reliable insured transportation and a valid Michigan Driver License

Pay: $17.50 - $25.00 per hour
