JOB SUMMARY: This temporary part-time position supports Housing Operations year-round with peak periods requiring additional hours during January, mid-April to mid-May, August, and December. This role will support Housing Operations in managing and executing the day-to-day operations of the department including: information systems, facility maintenance coordination, safety and security initiatives, asset management, summer camp & conference activity, resident and/or guest customer service and accounting, housing marketing and tours, external vendor support, and student employment.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Provide support for daily operations and assist the use and transition of Housing and University technological platforms, such as Colleague, WorkDay, The Housing Director, and Persona.
  • Participate in the implementation, testing, and training processes for the new Student Information System and new Housing Management Software.
  • Research and maintain benchmarking data for industry best practices.
  • Prepare reports and conduct audits to support Housing processes, update shared resources, and continually evaluate/assess/update the university safety and security efforts.
  • Communicate with students, parents/supports, and other University departments to resolve customer service issues.Communicate with residents timely and directly for emergent needs, room entry notifications, workorder follow-up, pest management, and needs for campus partners and/or external vendors and contractors.
  • Ensure compliance with University and departmental policies and procedures, including housing contract enforcement.Ensure compliance with Fair Housing, Americans with Disability Act, and Title IX.
  • Coordinate the residential mail and packages deliveries and Return-to-Sender (RTS) processes while partnering with Logistics, utilizing package tracking software, and loading/unloading/auditing parcel lockers and oversized packages.Investigate and resolve student concerns for lost items.
  • Assist with student employment for our front desk operations/mail-packages/camp coordinators to include supervision, training, and payroll.
  • Coordinate and support high volume operations, i.e. check-in prep, check-out prep, overnight guests, damage assessments and damage charges.
  • Participate in student orientation programs and/or recruitment opportunities.
  • Perform on-duty coverage (on-site or remotely) for camps/conferences/guest housing during seasonal times.
  • Perform other duties as assigned.

SUPERVISION RECEIVED:

General supervision is received from the Assistant Director of Housing Operations.


SUPERVISION EXERCISED:

Functional supervision is exercised over summer camp/conference coordinators, residence hall front desk and housing mailroom student employees.


MINIMUM QUALIFICATIONS:

  • Bachelor’s degree from an accredited college or university.
  • Relevant experience in university housing, or hospitality, management or related field(entry-level candidates may be considered. Proficiency in Office 365 Suite (to include Word, Excel, PowerPoint, Outlook, etc.) and ability to learn specialized software.
  • Valid driver's license
  • Strong organizational skills with attention to detail.
  • Excellent oral and written communication skills and interpersonal skills.
  • Must have customer service (student) centered attitude.
  • Ability to work independently and function effectively as a team member, including collaborating with campus partners.
  • Ability to attend to competing priorities in the changing demands of the housing operations calendar.
  • Ability to maintain confidentiality with respect to student/guest records and maintain diversity-equity-inclusion.
  • Experience and ability to positively interact with a diverse campus community.
  • Ability to perform the essential duties of the position with or without accommodations.


PREFERED QUALIFICATIONS:

Professional experience in university or collegiate housing and/or hospitality management of properties and/or services.

WORKING CONDITIONS:

  • Some weeknights and weekends, including intermittent travel, will be required.
  • Duties generally performed indoors with some outdoor activity required.
  • Occasionally may require the operation of University vehicles.
  • May be required to work occasional evening and weekend hours throughout the year.
