Description
The Documentation Specialist works as a member of the Operations Division responsible for managing the documentation of processes, procedures, and other artifacts necessary to achieve and maintain the BSI ISO / IEC 20000 certification for the division.
This role reports onsite 3 days / week in Springfield, VA or Laurel, MD. Subject to change based on needs of the government customer.
Conduct periodic document reviews to ensure documented procedures are current.
Primary point of contact for SharePoint permissions and access to resources found on the division’s SharePoint site to provide easy access to approved procedures and instructions.
Collaborate with team members using Microsoft TEAMS to conduct and record management and collaborative operational meetings with other groups to develop better ways to manage and operate IT systems throughout the enterprise.
Develop and provide training for the division to prepare for ISO 20000 audits and to maintain business conformance with the ISO 20K standard.
Responsibilities :
Manage document review cycles, conduct document reviews and approvals, and maintain the document library on the division’s SharePoint site.
Record meetings by taking minutes to use as evidence of meeting occurrence and discussion topics in the ISO 20K audit.
Update organization chart and publish to the customer-facing site so the size of the organization is accurately represented to upper management.
Create, Publish, and track annual document management and ISO 20K training for the division, as well as any other service team-level training events that occur throughout the year on the SharePoint site.
Guide the teams through Internal Process Audits to maintain compliance with ISO 20K standard.
Facilitate the annual ISO 20K External Audit, producing documents and evidence required to achieve and maintain ISO 20K certification.
Record, follow-up on weekly, and track to closure non-conformances identified in management meetings, Internal Process Audits, and ISO 20K External Audit.
Qualifications
Required Education & Experience :
BS & 2 years of relevant experience; may accept additional experience in lieu of degree.
Core understanding of BSI ISO / IEC 20000 certification requirements .
Prior experience using advanced features of Microsoft Office applications (Word, Excel, PowerPoint) .
Prior experience using SharePoint libraries and lists.
Working knowledge of incident management solutions and problem management workflow.
Working knowledge of ServiceNow.
Strong analytical and troubleshooting skills.
Excellent written and verbal communication skills.
Required Clearance : US Citizenship.
Must be able to obtain a Secret clearance with ability to obtain a Top-Secret clearance.
Must obtain interim secret clearance prior to starting work.
Desired Skills :
BSI ISO / IEC 20000 Internal Auditor certification
ITIL 4.0 certification
Demonstrated understanding of how the components of ISO 20K certification improve the reliability of the services provided to the customer(s).
An Understanding of how IT technologies (Active Directory, DHCP, Networking, and Firewall Administration) are managed
Ability to learn new technologies quickly and leverage them to enhance the team’s experience (eg., MS TEAMS) with ISO 20K and access to required and relevant documentation and other resources.
