About Sail to Prevail

Founded in 1982, Sail To Prevail was the first sailing program for people with disabilities in the United States. Today, the nonprofit organization annually provides opportunities for more than 1,000 children and adults to sail in their fleet of specially adapted, 20-foot sailboats. Their programs, which serve those with physical or intellectual disabilities as well as those facing difficult diagnoses, encourage individuals to be active participants in the sailing experience. They steer the boat and trim the sails. The program’s immediate benefits are respite from stress and opportunity for camaraderie, while long-term outcomes include increased self-confidence, independence, teamwork and leadership skills, and a better outlook on life.

The Opportunity

Sail To Prevail is seeking a highly organized and flexible Administrative Manager to direct all administrative aspects of the organization and provide support to a highly engaged CEO. Responsibilities include daily email and phone communication in coordination with the CEO, program operations, technology and social media, expense tracking, organizing and preparing for Board meetings, and grant writing/reporting, among other activities. Responsibilities

  • Provide executive administrative support to the CEO, including all daily communications, scheduling and ensuring deadlines are met and projects are completed.
  • Coordinate all CEO travel and memberships/activities.
  • Schedule and prepare materials for quarterly Executive Committee meetings and semi-annual Board meetings.
  • Handle data entry and maintain organized records, including invoices, project spreadsheets and digital files.
  • Manage the physical office to ensure efficient operations.
  • Manage donor relations including gift acknowledgements, solicitations, holiday cards and other communications.
  • Track spending and submit expense reports.
  • Assist with all program operations including hiring, scheduling, participant communication and coordination of equipment/signage.
  • Manage all organization technology including website, social media sites and donor database (Panorama).
  • Manage logistics and material preparation for speaking engagements.
  • Manage all public relations activity in coordination with the CEO.
  • Serve as a personal assistant as needed, ensuring the CEO’s workflow is efficient and structured.
  • Maintain confidentiality while handling sensitive information and correspondence.
  • Other activities that arise in the course of business.

Qualifications

  • Prior experience in an administrative office environment
  • Experience with calendar management and travel planning and all other related arrangements.
  • Excellent verbal and written communication skills.
  • Tech-savvy, with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and Google Suite and other office tools.
  • Proven and strong organizational skills with the ability to prioritize and manage multiple tasks.
  • Strong interpersonal skills and able to respond quickly.
  • Strong problem-solving skills and adaptability to changing circumstances.
  • Ability to maintain confidentiality and exercise discretion.
  • Familiarity with office management procedures and systems.
  • Demonstrated ability to work independently and as part of a team.
  • Ability to anticipate needs and solve problems independently.
  • A positive and high-energy approach and determination to bring solutions and keep things moving forward efficiently.
  • Willingness to learn and take on new challenges as needed.

Working Environment, Compensation & Benefits

Sail To Prevail maintains an office in Newport, RI (with parking) where this person will be the sole employee. The CEO splits time between Newport, RI and Miami, FL. The salary range for this role is $50,000-$65,000 with a competitive benefits package. This role will require some out-of-normal business hours due to the nature of the work.
