Summary:
Responsible for providing secretarial / administrative assistance to Chief Executive Officer. Performs in accordance with the facility's policies and procedures. Follows the facility's standards for ethical business conduct. Conducts self as a positive role model and team member. Participates in facility committees meetings in-services and activities.
KEY RESPONSIBILITIES:
- Performs secretarial duties for CEO including taking dictation transcribing correspondence and reports and proof-reading typed material.
- Indexes and files correspondence records and reports. Orders supplies and equipment.
- Receives and assists visitors and telephone callers referring them to appropriate individuals.
- Maintains calendar and arranges meetings. Answers inquiries and makes travel arrangements for CEO board members and other staff as appropriate.
- Assists CEO with special projects strategic plan and budget preparation.
- Attends assigned meetings and reports on actions. Records minutes of meetings. Maintains documents and files including those related to committees quality assurance strategic planning bylaws personnel compensation finance etc.
- Maintains files related to legal matters and prepares summary for management and board.
- Participates in professional development activities to keep current with health care administration practices.
- Maintains strictest confidentiality.
- Perform all other work duties as assigned.
REQUIRED QUALIFICATIONS:
- Minimum of four years of secretarial experience including one year with a health care organization. Knowledge of health care administration practices.
- Typing ability of 60 wpm and word processing experience. Knowledge of computer systems programs and applications including Microsoft Office Suite (Word Excel Power Point Publisher Outlook); Knowledge of secretarial practices. Knowledge of grammar spelling and punctuation to type from draft copy review and edit reports and correspondence. Knowledge of basic arithmetic to make calculations balance and reconcile figures and make changes accurately.
- Skilled in written and verbal communication. Skilled in gathering and reporting information. Ability to work effectively with staff patients public external agencies. Ability to exercise initiative problem-solving decision-making.
EDUCATION:
- Associate degree in business administration or secretarial practices. Bachelor's degree preferred.
Working Conditions:
- The work environment is one of a typical office work environment. Extensive computer work such as data entry verifying system data correcting and updating information is necessary for maintaining databases and preparing statistical reports. While performing the duties of this job the employee is frequently required to sit walk; stand; reach with hands and arms; climb or balance; stoop kneel crouch or crawl; and talk or hear.
