What are the responsibilities and job description for the Parish Administrator position at Saint David's Episcopal Church?
Job Purpose:
The Parish Administrator helps a medium-sized church succeed as a nonprofit organization by administering church business. The Parish Administrator deals directly with parishioners, neighbors, companies, and others who are involved with or who may call upon Saint David’s. This position demands a high degree of organization, detail-oriented attention, excellent communication skills, solid working knowledge of office computer systems, and a spirit for working with people.
**NOTE: The following job description looks daunting, but know that these tasks do not happen all at once, nor every week.
Duties:
:
· Maintains weekly demands of the parish: answering phones, going through mail and email, receiving parishioners, requests or questions, scheduling programs and building use and assisting the Rector and staff in their preparations for Sunday worship
o Provide referrals to callers seeking financial assistance
o Completes and publishes weekly Sunday bulletin
· Maintains parish office and its supplies: paper, toner, copier workability, and other office needs
· Maintains awareness of building’s systems, such as heating/AC, plumbing, phones, security, elevator, electrical, internet, etc.
· Assists the Rector when needed, especially optimizing the Rector’s time through screening visitors and phone calls, working to assist callers and visitors before involving the Rector or other staff
· Maintains congregation contact through updates to church database (Realm)
· Maintains scrupulous confidentiality of pastoral and financial matters.
· Other duties, as needed
· Maintains parishioner giving records, including stock and online donations
· Oversees invoice and check-writing accountability, using the Manual in Business Methods for Church Affairs.
o Helps Rector and Treasurer complete annual “Parochial Report”
o Coordinates designated check signers, invoices and mailouts
· Assists Vestry with check assignments and parishioners with reimbursements

· Fields communication from parishioners, diocese and rector regarding a variety of matters, for example, illness, diocesan business, suggestions for public relations
· Notifies Rector and/or staff of pastoral issues
· Maintains parish prayer list
· Maintains list of who has passed the mandatory sexual misconduct prevention and antiracism training programs through our diocese
· Assists, as needed, with funeral parking and receptions

· Acts as a hub for parish, diocesan and community information sharing
· Maintains church calendar
· Oversees parish bulletin boards, making sure they are neat and up to date
Skills Required:
· Microsoft Office (PC): Word, Publisher, Outlook. Excel
· Proficient in database (Access-based) management. Experience with Realm a plus.
· Excellent verbal and written communication
· Problem solving, especially as related to office management
· Understanding of Christian community and its annual celebrations, such as Easter and Christmas, and particular knowledge of the Episcopal Church, USA is a plus.

Job Type: Part-time
Pay: $18,000.00 - $20,000.00 per year
