What are the responsibilities and job description for the Parish Operations Manager position at Saint Elizabeth Ann Seton Parish?
St. Elizabeth Ann Seton Parish, located in Crofton, Maryland, seeks candidiates for an Operations Manager. The Parish Operations Manager provides comprehensive support primarily to the Pastor in the oversight and direct management of the temporal goods of the Parish, in compliance with the Archdiocese of Baltimore Policies and procedures. The Parish Operations Manager, in conjunction with the pastor, serves as the chief administrative officer for the parish and its day-to-day operations. Effective functioning in this ministry requires diplomacy, strong communication skills, writing/editing ability, computer experience, a pleasant phone manner, and good people skills. Because of the variety and scope of this position, flexibility and a willingness to serve are paramount. The hours are Monday-Friday, 8 am-4pm.
Essential Functions:
Financial:
- Assist Bookkeeper to prepare, administer, and review budget in compliance with Archdiocesan policy.
- Act as liaison between the parish and Archdiocese in financial matters.
- Assist the Pastor and fund-raising Chair when necessary with administration of the parish fund-raising efforts.
- Coordinate parish financial status reports to the Pastor, Corporators, Development/Finance Committee, and Pastoral Council.
- Participate in the development and implementation of parish personnel policies in collaboration with the Pastor.
Administrative: Direct and evaluate the operation of the parish to ensure that all activities, staff, and volunteers support the Mission of the Church and Parish, including:
- Supervise secretarial staff.
- Establish office coverage and core hours for staff to ensure parishioner needs are met.
- Be responsible for the opening and closing/securing of the parish office and church building for normal hours of operation.
- Oversee the phone system, changing the welcome message to relay the correct Mass times throughout the year and alerting of inclement weather.
- Direct and coordinate the compilation of data required for the annual Archdiocesan Consolidated Report and other management reports required or requested by the Pastor; ensure accurate and timely recordkeeping for the parish census, Ministry Platform, and Sacramental records, etc.
- Ensure proper maintenance and usage of the Ministry Platform(MP) census system.
- Accommodate and coordinate processing of special requests from staff, Pastoral Council, committee chairpersons or parishioners, as appropriate (i,e., Welcome Social invitations, Hospitality Committee mailings.)
Communications: Oversee and support the communications efforts of the parish to engage, educate, and elicit action on the part of the parish community.
- Oversee website content to ensure it is maintained with timely information, appropriately conveys the parish’s identity, and adequately engages all who visit.
- Oversee and monitor communications through Social Media to ensure posts are strategic, purposeful, and engaging.
- Oversee MP communication to ensure regular impactful communication.
- Oversee the production of the Bulletin in paper and website form to ensure its overall presentation is consistent with other forms of parish communications while also limiting redundancy.
- Direct the handling and timely executiion of special/seasonal items, such as Holy Week booklets, special liturgy publications.
Information Technology: Oversee the technology resources and ensure that they meet the current and future needs of the parish.
- Direct the operation of the computer equipment in conjunction with the IT company and with the approval of the Pastor.
- Monitor the website’s technical platform to ensure that it is structured to support the needs of the parish
- Oversee the IT support structure, including copiers to ensure that all technology needs are met timely and adequately.
- Monitor the compatibility, connectivity, and access to the network to ensure adequate availability and usage.
- Oversee the Network Security protocols to ensure that the parish technology is adequately protected.
Plant Management: Oversee the ongoing usage and maintenance of the parish’s real and personal property to ensure its adequacy and availability for current and future parish ministry needs.
- Collaborate with Facilities Manager and Pastor to manage major repairs or new construction; implement goals, oversee upkeep, and monitor the parish budget with regard to facilities and the campus.
- Direct routine plant maintenance to the maintenance worker.
- Oversee the landscaping and snow removal by the contractor.
- Oversee security systems of Church and rectory, keeping record of those holding keys and card reader badges; providing keys as needed.
- Oversee the scheduling of all parish facilities to maximize utilization and control unnecessary expenses, while ensuring that third-party usage is in accordance with AOB policy and insurance requirements.
- On a yearly basis, review all service contracts in conjunction with Financial Minister; handling notifications, instructions that would impact their service or convenience of parishioners.
- Be familiar with the fire, security and sprinkler systems and electrical panel.
- Negotiate contracts with suppliers, contractors, construction companies, and other entities; ensure that contract specifications are met; if not take timely action
- Prepare, communicate, and administer security protocols for the use of Parish facilities
- Ensure full compliance with all Archdiocesan policies for the entire campus.
Liturgy:
- Coordinate activities (staff/committee/Pastoral Council) on weekends in the church lobby/Parish Center after liturgies.
- Apprise decorator of weddings/special needs; also convey any special requests of the pastor.
- Notifiy Eucharistic Minister Coordinator of someone needing a Communion call.
- Coordinate funeral arrangements.
- Oversee recording of sacraments in respective sacramental record books.
- Oversee the proper function of the Livestream cameras and AV systems.
In serving as Assistant to the Pastor, he/she shall:
- Screen/handle phone inquiries as appropriate or as directed by the Pastor.
- Keep pastor apprised of developments in all areas of which he has knowledge.
- Draft correspondence as needed.
- Disseminate information to the staff as appropriate.
- Prepare background materials when necessary.
Other Tasks - As part of the parish leadership team the Parish Operations Manager may be asked at times to take on other responsibilities and tasks important to the mission of the parish. The Parish Operations Manager will be expected to ensure the appropriate resources are in place to satisfactorily complete these responsibilities and tasks while overseeing each activity.
Position Qualifications:
- Bachelor's degree in Accounting, Finance or Business Management with at least five years of prior experience.
- Understanding of and ability to support the operation and mission of the Catholic Church.
- Knowledge of UltiPro or similar payroll/benefits software desirable.
- Ability and experience in effectively leading a team and supervising staff.
- Strong interpersonal and analytical skills. Strong detail orientation.
- Ability to honor and maintain confidentiality.
- Strong written and oral skills; ability to deliver clear presentations to different constituencies.
- Proficiency in Microsoft Office Products, working knowledge of Quick Books, budgeting and finacial statement preparation/analysis.
Range: $38,800 - 67,937, Annualized
