Scheduled Shift: Days
Functions as point person for EVS and FANS Department information and clerical duties as outlined in Job Duties. Coordinates catering and special events. Responsible for the Medical Center’s conference room arrangements and distribution. Prepares daily retail cash processing reports and monthly financial reports.
JOB DUTIES
Actively demonstrates the organization’s mission and core values and conducts oneself at all times in a manner consistent with these values. Knows and adheres to all laws and regulations pertaining to patient health, safety and medical information. Coordinates catered/special events arrangements per policy. Processes and distributes Catered/Special Events sheets to appropriate Food & Nutrition Services associates. Coordinates the medical center’s meeting conference room arrangements. Distributes room reservations to appropriate parties. Receives service requests and dispatches appropriate service staff. Logs service requests. Monitors bed-tracking system and provides service update to responsible Manager. Tracks Associates attendance/absenteeism. Maintains department’s personnel files. Informs responsible Manager, as attendance/absenteeism thresholds are achieved/surpassed as prescribed by SJHS Time and Attendance policy. Coordinate service needs of EVS & Food Service from other departments. Prepare daily retail cash processing reports. Maintains balanced safe and change funds. Processes monthly EVS and FANS financial reports. Organizes invoices to be processed weekly ensuring appropriate authorization and cost centers. Records Daily Cash and Cash Transaction information from Retail Food outlets (Café; Coffee Shop; Micro Market; Plymouth Café; Rehab Institute; Other) on a daily basis in the Weekly Retail Transaction Log file. Sends report file to FANS General Manager weekly. Captures and reports bi-weekly FANS Labor and Productivity reports for and to the FANS General Manager. Captures and tracks all Patient Unit Floor Stock, Nourishment and Pharmaceutical supply expenses. Reports to FANS GM weekly. Captures and tracks all Catering Event data on a weekly basis to include itemized and aggregate of: Event; Ordered by; Cost of Food; Cost of Labor; Cost of Supplies; # of guests anticipated; # of guests attended. Report provided to and reviewed with FANS General Manager weekly. Captures and tracks Patient Satisfaction data for EVS and FANS from third Party database through approved access and structure on a monthly basis. Report submitted and reviewed with EVS and FANS General Managers respectively and/or delegated Manager. Keeps calendar and schedules appointments on behalf of EVS and FANS General Managers for all approved outside requests in conjunction with guidelines provided by General Managers. Dispatches EVS troubleshooting phone. Monitors Teletracking, assigns rooms to staff. Enter weekly schedules for all shifts into Kronos (managers will e-mail schedule to be posted). Bed Bugs: Call for exterminator, fill out paperwork, monitor room cleaning (days). New hires:
- Prepare department file (orientation checklist, new hire information, etc)
- Introduce to department
- Set up training videos
- Assign uniform
Maintains and keeps uniform cabinet stocked and maintained. Monitors linen inventory (mops & wipes). Checks in inventory order when delivered. Maintains all manifest files for Bio & pharmaceutical waste. Calls for open top pick-ups. Performs other duties consistent with purpose of job as directed.
JOB SPECIFICATIONS AND CORE COMPETENCIES
Education: Must be able to proficiently read and write English and perform mathematical calculations normally associated with a high school diploma or equivalent (GED).
