Administrative Assistant - Curatorial Department
Summary: To provide administrative and clerical support to eight curatorial departments.
Reports to: Curator of American Art
Essential Duties and Responsibilities:
- Daily use of Microsoft Office suite, scheduling software, and financial software.
- Domestic and international travel planning and detailed travel expense reporting.
- Coordinate meeting requests and other calendaring needs.
- Track departmental budgets in coordination with curatorial division Senior Administrative Assistant.
- Draft and edit correspondence, reports, and other documents as requested.
- Maintain materials and files for curatorial departments.
- Respond to and delegate inquiries from the public.
- Assist in setting up online and in-person divisional and department meetings, and, when necessary, attend and record notes.
- Process incoming and outgoing mail.
Qualifications: Required: High school diploma. Relevant administrative experience. Must be detail-oriented and have excellent organizational and administrative skills, including a high level of proficiency with computers, including Microsoft Office. Must have experience in planning domestic and international travel, and be able to work with Senior Administrative Assistant to track departmental spending. Must have the ability to interact graciously and effectively with members of the Museum staff, patrons, and the public. Must also have the ability to handle multiple duties at one time, be adaptable to consistently changing priorities, and meet challenging deadlines. Preferred: Some college.
Additional Details:
Hiring Range: $20.35 - $24.42 per hour, commensurate with experience. Competitive full benefits package is available on Day 1, including three weeks of vacation annually with one week available immediately, a museum-funded pension, museum-paid disability insurance, and a world-class wellness program.
Status: Regular full-time (37.5 hours/week)
