JOB SUMMARY :
The Sales and Marketing Coordinator is responsible for providing comprehensive administrative and operational support to the Sales Team. This role requires advanced organizational and technical skills to facilitate team operations, coordinate projects, and ensure efficient communication and collaboration across departments. The position supports critical initiatives, handles logistics for meetings and events, and administers administrative functions that contribute to the success of the Vegetable Sales Team. Additionally, the Sales and Marketing Coordinator supports the development and maintenance of the Crop Business Unit infrastructure to ensure alignment with organizational goals.
ESSENTIAL DUTIES AND RESPONSIBILITIES :
Administrative Support and Coordination
- Coordinates project administration and ensures timelines and layouts are managed efficiently.
- Handles requests by following established procedures, consulting with appropriate stakeholders, and acting as a liaison between departments to ensure effective communication and resolution.
- Supports the facilitation of the Crop Business Unit infrastructure, ensuring streamlined processes and effective communication.
- Acts as Admin lead of the SAH WIG Teams for West / East, managing agendas, scoreboards, actions, and updates.
- Serves as the master calendar scheduler for the Veg Sales Department and maintains comprehensive scheduling across teams.
- Works with external resources and services, as needed, to support sales initiatives.
- Act as administrator for Sakata Key Initiatives.
Sales Team Support
Administers and maintains the Sales Team channel : updates posts, adds members, organizes files, and manages communication channels.Organizes and follows up on pending sales action items from meetings.Coordinates corporate giving projects for the Sales Team.Processes incoming invoices, payment requests, and purchase prior approvals.Meeting and Event Planning
Coordinates and supports the Annual Sales Meeting, Western / Eastern Sales Meetings, and other regional meetings, including agendas, logistics, and materials.Plans and organizes dealer sales meetings, including collecting dealer inventory.Coordinates the monthly sales conference calls.Purchases supplies, lunches, and refreshments for meetings and events.Technical and Presentation Support
Utilizes advanced Microsoft Office skills and other applications, including word processing, database management, spreadsheets, presentations, electronic calendars, email, DocuSign, and more.Prepares PowerPoint presentations and Excel spreadsheets to support meetings and projects.Schedules webinars for crop presentations and other virtual meetings via Teams.Oversee setup and operation of audio-visual equipment for sales meetings, webinars, and events, ensuring seamless functionality and technical support as needed.Online Store and Logo Wear Management
Manages logo wear orders for employees and annual department meetings through the online store.Tracks orders, invoicing, and payments for events and employee items.REQUIRED KNOWLEDGE / SKILLS / ABILITIES :
Technical Skills :
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Experience with scheduling tools and internal platforms (e.g., Teams, SnapNet).Familiarity with financial systems like Visa Clarity and tools like DocuSign.Interpersonal Skills :

High school diploma or equivalent required; an associate’s or bachelor’s degree preferred.3 years of experience in an administrative support role, preferably supporting a sales or operations team.WORKING CONDITIONS / PHYSICAL DEMANDS
