About The Role

The Off-Premises & Catering Coordinator plays a key role in organizing and managing catering orders, off-premises logistics, and customer communication. This position is responsible for coordinating event details, ensuring timely deliveries, and supporting the catering and operations teams. The ideal candidate is highly organized, customer-focused, and has experience in catering, hospitality, or logistics coordination.

Catering & Off-Premises Coordination Core Responsibilities

  • Manage incoming catering and off-premises orders via phone, email, and online platforms.
  • Ensure all orders are accurately recorded, confirmed, and scheduled for preparation and delivery.
  • Work closely with the kitchen and operations team to ensure timely and accurate fulfillment of catering orders.

Event & Delivery Logistics

  • Coordinate delivery schedules with drivers and ensure on-time catering deliveries.
  • Track orders and resolve any last-minute issues to ensure a seamless customer experience.
  • Assist in organizing catering events, including setup, staffing, and logistics.

Customer Service & Client Relations

  • Serve as the main point of contact for catering clients, addressing inquiries and special requests.
  • Provide exceptional customer service by maintaining positive client relationships and following up on completed orders.
  • Handle post-event feedback and suggest improvements for future catering operations.

Administrative Support & Reporting

  • Maintain accurate records of catering sales, invoices, and customer preferences.
  • Assist in tracking catering revenue and performance metrics.
  • Work with the marketing team to support promotions and outreach for catering services.

Qualifications & Skills

  • Associate’s or Bachelor’s degree in Hospitality, Business, or a related field (preferred but not required).
  • 1-3 years of experience in catering, event coordination, food service, or hospitality.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and customer service abilities.
  • Proficiency in Microsoft Office, POS systems, and catering management software.
  • Ability to work in a fast-paced environment and handle last-minute changes.
  • Experience working with third-party delivery services and catering platforms.
  • Knowledge of food safety and handling guidelines.
  • Background in restaurant, catering, or event planning operations.

Physical Demands

  • Function in a fast-paced restaurant or office environment
  • Sit for an extended period of time.
  • Hand/Finger dexterity
  • Occasionally lift 50 lbs. or more.

Requirements

Supervisory Responsibility

  • This position does not have direct supervisory responsibilities but works closely with kitchen staff, delivery teams, and event personnel.

Work Environment

  • Office-based with occasional on-site support at catering events and delivery locations.
  • Requires frequent interaction with clients, vendors, and internal teams.

Position Type & Expected Hours

  • Full-time, non-exempt position
  • Work Schedule: Monday – Friday, 8:00 AM – 5:00 PM
  • Occasional evenings and weekends based on catering events and business needs.

Travel Requirement

  • Minimal travel is required, primarily for event setup and catering deliveries.
