Job Summary:
The Office Administrator/Receptionist is a crucial role within our company, responsible for providing exceptional customer service, managing front desk operations, and supporting daily administrative tasks. Responsibilities:
- Front Desk Management:
- Greet and welcome visitors in a professional and friendly manner.
- Answer and direct incoming phone calls, taking detailed messages and transferring calls accurately.
- Manage incoming and outgoing mail and packages, including signing for deliveries.
- Maintain a clean and organized reception area.
Customer Service:
- Provide exceptional customer service to all callers and visitors.
- Handle customer inquiries, concerns, and complaints with professionalism and empathy.
- Schedule appointments for sales representatives, ensuring efficient scheduling and coordination.
- Manage service and repair requests, including emergency service calls, accurately documenting details and dispatching technicians as needed.
- Provide assistance and information to customers seeking help with their fence or gate issues.
Administrative Support:
- Process and maintain accurate records and files.
- Assist with basic data entry and administrative tasks.
- Manage office supplies and inventory.
- Interface with job applicants who walk in, providing information and directing them appropriately.
- Prepare and distribute correspondence and other documents.
Errands:
- Perform light errands, including trips to the bank, post office, grocery store, office supply store, and other local businesses as needed.
Communication:
- Communicate effectively, both verbally and in writing, with customers, colleagues, and vendors.
- Handle difficult customer situations with tact and diplomacy.
- Maintain a professional and friendly demeanor at all times.
Qualifications:
- High school diploma or equivalent required; associate's degree or higher preferred.
