What You'll Contribute

The Senior Associate, Administrative Support will provide administrative support to our legal, corporate communications, and public policy organization and senior management. The ideal candidate will be responsible for managing and prioritizing administrative tasks, ensuring the smooth and efficient day-to-day operations of the organization, and developing and assisting in the implementation and improvement of administrative and other relevant policies and procedures.

What You'll Do

  • Provide administrative support to senior management, including teams of legal professionals that manage litigation, contracts, labor & employment, public company reporting, and corporate finance matters.
  • Schedule meetings, manage complex calendaring and end to end meeting preparation, proof, format, and process a wide variety of documents and document types, and coordinate travel arrangements and expense reports across multiple senior stakeholders.
  • Assist with routine financial and oversight tasks, such as invoicing, expense tracking, and working with third party vendors.
  • Develop, implement, and, in collaboration with peers and other stakeholders continuously improve policies and procedures related to administrative matters, maintenance of records and files, and other matters.
  • Oversee the management of office supplies, equipment, and facilities.
  • Develop and maintain strong working relationships with internal and external stakeholders.
  • Execute and / or test controls related to risks assigned to the organization. Monitor and report on the team's performance and identify areas for improvement.
  • Provide guidance and support to and collaborate with administrative support peers across the enterprise to ensure excellent customer service is provided to all internal and external stakeholders.
  • Ensure compliance with company policies, procedures, and regulatory requirements.

What you have

Minimum education, skills and experience required.

  • Excellent organizational, planning, and time management skills.
  • Strong communication and interpersonal skills, with the ability to build relationships with stakeholders at all levels.
  • Demonstrated ability to prioritize tasks in a fast-paced environment.
  • Experience with office software and equipment, including Microsoft Office Suite and office management software.
  • Strong problem-solving and decision-making skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Ability to work independently and as part of a team.
  • Willingness to work flexible hours as needed.
  • Preferred education, skills, and experience.

  • Bachelor's degree in Business Administration, Management, or a related field.
  • Minimum of 3 years of experience in administrative support and project management in a legal environment (large law firm or in-house).
  • Six Sigma credentials (or willingness to obtain)
