What are the responsibilities and job description for the Coordinator, Miller Campus Cashier position at Salt Lake Community College?
With minimal supervision, the Miller Campus Cashier Coordinator, performs technical and specialized financial and accounting functions following established principles, policies, procedures, and state and federal regulations. This position is responsible for managing our Miller Campus Cashier location. This position works 3 days a week from the Miller Campus (Monday, Thursday, and Friday) and 2 days a week from the Redwood Campus (Tuesday and Wednesday). Operations management includes staff scheduling, monitoring internal controls, ensuring continuous cashier coverage, and oversight of office supply inventory and record retention. Additionally, this position must review and assess daily reports, staff documentation, and service interactions to monitor the accuracy of transactions, compliance with the College’s Cash Receipting policy, and quality of service. When needed, this position is expected to travel and work at other Cashier locations. Scheduled work hours are based on department needs and may vary.
Essential Responsibilities and Duties
- Oversee the operation of the Miller satellite location.
- Receive payments and post transactions in students’ accounts, finance, and campus card accounting systems, accurately entering the related financial information (amounts, detail codes, descriptions, indexes, accounts, etc.), in-person, over the phone, and from the mail.
- Complete numerous types of transactions using various methods of payment.
- Demonstrate proper cash handling procedures.
- Count and balance a cash drawer daily. Responsible for the security and correctness of large sums of money, at times.
- Issue and retain receipts for all transactions.
- Observe and maintain department and college billing, cash handling, cash receipting, refund, and stop payment and void check policies.
- Observe and maintain federal regulations, such as PCI Data Security Standards and other state and federal laws and regulations applicable to the Cashiering area.
- Customer service:
- Respond to inquiries in person, on the phone, or via email regarding student accounts, registration, financial aid, payment history, and refund status requests.
- Answer general College questions and direct students to the appropriate department(s) for assistance.
- Provide options to resolve debt as well as details and instructions on how to enroll in tuition payment plans.
- Resolve customers’ problems and make judgments on when to escalate more difficult problems to a higher-level Coordinator, Redwood Cashier, or the Assistant Bursar, Cashiering.
- Support the office’s Strategic Communication projects, including, but not limited, to account advising calls, direct mail support, address updates/verification, and return mail processing.
- Assist the Assistant Bursar, Cashiering, in monitoring internal controls and identifying opportunities to improve practices to minimize risk.
- Student account research and reconciling.
- Oversee the retention of cashier documents at the Miller Campus location.
- Research of department, sponsor, and student records.
- Responsible for the security and completeness of a cash drawer.
- Manage the main cashiering email channel by providing timely, courteous, and informative responses to inquiries and requests.
- Oversee the Cashiering Procedure Committee and ensure all existing procedures are reviewed and, if necessary, updated on a triannual basis. This includes leading meetings, delegating committee assignments, and working with the members to identify new procedures and guides needed.
- Support the Assistant Bursar, Cashiering, in setting goals and identifying opportunities to enhance processes and communications to minimize risk and error as well as better meet the needs of those we serve.
- Responsible for opening the shift, which includes deactivating security alarms and unlocking the vault and safe, and verifying cash drawer amounts.
- Responsible for closing the shift, which includes collecting all cash drawers, verifying their amounts, locking them in the safe, and locking the vault and safe.
- Check in and out cash drawers from the safe, verify their amounts, and fill out paperwork to document.
- Collect and file receipts, document copies, and other related transaction records and provide these to auditors when needed.
- Properly destroy unneeded documents with confidential information.
- Count and balance cash receipts to a Banner report at the end of the shift.
- Prepare bank deposits and manifests and ensure they are ready and complete for transport to the bank. Responsible to take deposits directly to the bank on holiday weekends that span more than three banking days.
- Prepare the cashier daily recap report in Microsoft Excel.
- Update student mailing address changes.
- Complete College required training including Accommodating Disabilities, Harassment Prevention, Family Education Rights and Privacy Act (FERPA) Training, Hazard Communication (OSHA), Workplace Violence, Workplace Bullying Awareness and Prevention, and Data Security and Privacy.
- Maintain a supply inventory and order supplies when necessary.
- Attend meetings and training that are applicable to your job duties and at the discretion of the supervisor.
- Serve on cashier hiring committees as requested by the Assistant Bursar, Cashiering.
- Other duties as assigned.
- Bachelor’s degree in Accounting, Business, or related field.
- Zero (0) to three (3) years of direct, paid, full-time work experience.
- Current driver’s license and able to operate a vehicle between campuses.
Trade off 1:1 in experience/education requirement.
Part time experience may be considered on a prorated basis.
Preferred Qualifications
- Accounting degree.
- Direct work experience in the designated business function.
- College and university work experience.
- Ability to speak Spanish fluently.
- Knowledge of accounting and reconciliation principles and practices.
- Ability to handle and count money and make change accurately.
- Ability to perform simple mathematical calculations.
- Ability to learn the intricacies of different areas of the College.
- Ability to memorize accounting codes, which are alphanumeric codes from 1 to 4 digits long.
- Knowledge of the importance of internal controls.
- Ability to evaluate performance metrics and critique processes, identify opportunities for improvement, and formulate and execute plans to create more effective and efficient operational methods to enhance provided services.
- Ability to communicate both verbally and in a written format using English.

- Working knowledge of Microsoft Office software including Word, Excel, and Outlook.
- Knowledge of department, College, state, and federal policies, procedures, and practices with the ability to answer work-related questions and/or interpret and apply these guidelines correctly in various situations.
