Event Captain – Setup & Receiving
The principal responsibility is to manage event staff and guest expectations efficiently and effectively while providing all guests with an exceptional experience for contracted events at The Madison Event Center and Hotel Covington. In addition, the Event Captain—Set up and Receiving—oversees event setup operations, coordinates equipment and material deliveries, ensures seamless execution of event layouts, and manages BOH organization. This role requires strong organizational skills, attention to detail, and the ability to lead a team efficiently and according to Operation Management expectations.
All Event Captain duties as noted on the attached job description as well as the additional responsibilities below:
Event Setup & Execution:
- Supervise and participate in setting up event spaces, including tables, chairs, staging, decorations, AV equipment, and other necessary elements.
- Ensure all setups align with event specifications, floor plans, and safety guidelines.
- Organize and restock all BOH areas to ensure event teams are set up for success.
- Conduct FOH & BOH inspections before event start times to confirm proper arrangements.
- Oversee breakdown and cleanup post-event, ensuring efficient teardown and storage of all equipment.
Receiving & Inventory Management:
- Receive, inspect, and document event materials, furniture, and equipment deliveries.
- Participate in inventory of all equipment and ensure proper storage and organization.
- Communicate any discrepancies in deliveries to vendors, suppliers and Operations Management to resolve.
- Manage stock levels and communicate shortages or replenishment needs to Operations Management.
Team Leadership & Coordination:
- Lead and guide event staff in executing event preparations.
- Assign tasks, monitor performance, and ensure timely completion of setup and breakdown.
- Train staff on proper setup procedures, safety protocols, and equipment handling.
Uniform Requirements:
- Black pants and long-sleeve black shirt
- Black non-slip shoes with black socks

Compensation & Schedule:
- $18 hourly with potential for increase after training is complete (within 4 weeks)
- Full-time, hours will vary depending on events scheduled
