Description
The Housing and Residence Life Office Coordinator is the first point of contact for the Department. This position has important responsibilities in public relations and communication. The position serves as an office manager with administrative assistant tasks as well as operational duties that facilitate various departmental functions.
Job Duties
- Primary responsibility of answering incoming calls and emails to the department, including calls to the Assistant Director(s) and Director, referring requests when necessary, and communicating accurately to the caller when able.
- Greet Housing and Residence Life visitors and respond to needs when able, referring requests when necessary.
- Create, maintain, and update incoming student files, keeping accurate records of Housing Applications, New Student Housing Contracts and application changes using ARGOS and Banner systems.
- Maintain and update as needed current student files, performing a yearly audit and storage of files as per the Records Retention policies.
- Assist the Assistant Director of Housing Operations, the Residence Life Coordinators and Managers with incoming student assignments, including bed space and meal plan entry into housing software.
- Be present and participate in departmental events such as Bulldog Days, Move-In, Orientation, and other university events.
- Housing Sign-Ups or other sponsored events, scheduled meetings, and / or training as needed.
- Process departmental requisitions and purchase orders in a timely manner, keeping accurate records of transactions and check disbursements.
- Orient, supervise, assign tasks, and maintain schedule of main office student employees.
- Maintain and update departmental files and records.
- Maintain and update departmental information in University publications such as the website, Student Handbook, and RA Handbook.
- Create and maintain social media sites generated by the department with accurate and timely information.
- Maintain inventory of office supplies, ordering as needed.
- Support department with housing selection and assignment process.
- Support department in room change process and communication.
- Assist with resident and parent communication in all platforms.
- Assist with key management system as needed.
- Communicate with Facilities and Safety Coordinator on situations involving facilities.
- Assist with ensuring billing and financial changes are accurate within university systems as needed.
