JOB DESCRIPTION
TITLE: School Nutrition Administrative Assistant
QUALIFICATIONS:
- Associates Degree preferred, but not required.
- Ability to effectively communicate with others.
- Working knowledge of software programs used by the school system and the department.
- Working knowledge of requirements of federal, state, and local agencies governing child nutrition programs.
- Ability to analyze situations and make firm decisions based on that analysis.
- Ability to make, and/or accept change with little or no difficulty.
- Ability to work as a member of an organizational team.
REPORTS TO: Director of School Nutrition
DUTIES AND RESPONSIBILITIES:
- Answer phone (first phone to ring in our SN group when pressing option 1 from auto attendant) Our phones are designed to roll from auto attendant until a “live” person picks up or it goes to my voice mail after 12 rings. We strive for a “live” person to pick up.
- Operate all office machines
- Weekly mail duties for interoffice with our complex and central office
- Type and distribute correspondence
- Order office supplies for School Nutrition Central Office and Cafeteria Managers
- Process, reconcile, and key office supply PO’s and invoices
- Consolidate weekly grocery orders in the software program and electronically submit to vendor.
- Process, reconcile, and key milk PO’s and invoices in the finance software for payment
- Submit weekly bread orders to vendor
- Process, reconcile, and key bread PO’s and invoices in the finance software for payment
- Key weekly produce orders in online ordering system with vendor
- Process, reconcile, and receive DOD and Farm to School Produce in the finance software.
- Process, reconcile, and key “direct pay” produce invoices in the finance software for payment
- Submit monthly chemical orders to vendor
- Submit monthly claims to DPI
- Other duties as assigned
- Must be able to express and exchange ideas effectively by spoken word.
PHYSICAL REQUIREMENTS:
- Must be able to perform basic life operational functioning of lifting, climbing, reaching, standing, fingering, talking, hearing, and repetitive motion.
- Must have hand and finger dexterity for accurate computer functions.
- Auditory acuity at a level to communicate effectively with customers and employees in direct conversation as well as by telephone.
- Visual acuity to read and analyze information in hard copy or on computer screens.
SALARY: full time, 12 month position with benefits
