AMINISTRATIVE ASSISTANT - BOOKKEEPER
NATURE OF WORK
An employee in this class performs a large variety of clerical duties involving interaction with other employees and departments. Generally, an employee in this class functions as the primary support to an administrator or has considerable knowledge of a technical field. Work typically involves several steps and requires the selection of the most appropriate action within procedural and operational guidelines. Work is directed by local and state procedures, policies, and statues. The employee may develop procedures for non-technical and non-complex problems and is expected to resolve problems independently.
The employee performs a variety of complex technical and computer support functions for the student information system. The employee must communicate with a wide variety of groups including principals, counselors, central office staff, parents, governmental agencies and other school staff. The employee works under general supervision where goals are provided, and the employee determines the procedures to accomplish them.
ILLUSTRATIVE EXAMPLES OF WORK
- Receives visitors, assists them or refers them to the appropriate staff member
- Answers routine questions and requests with little supervision
- Answers telephone and delivers messages
- Types and copies correspondence, memos, reports, forms, etc.
- Operates standard office machines (calculator, copier, computer, etc.)
- Manages office mail
- Operates computer for data collection
- Keeps record of staff absences for payroll purposes
- Performs other duties as assigned by the director
- Maintains strict confidentiality for all school matters
- Serves as payroll operator for bus drivers
- Monitors budget for local and state funds
- Initiates purchase order via central office accounting system for local and state funds
- Keys invoices for payment via the central office accounting system
- Receives orders and verifies correctness
- Keys in 30 day and PM through BSIP
KNOWLEDGE, SKILLS, AND ABILITIES
- Administrative skills to interpret county and state policies governing school transportation.
- Software/database/spreadsheet/word processing skills for data entry, reporting, word processing, desktop publishing, spreadsheets.
- Communication skills to communicate with school personnel, parents, and outside agencies.
- Uses discretion to structure tasks to meet expectations and prioritizes to meet deadlines.
- Keeps information confidential.
- Needs limited supervision and is able to work independently and as a part of a team.
- Uses initiative in carrying out recurring assignments independently without specific instructions.
- Able to make decisions and solve problems with school data and information provided.
QUALIFICATIONS
- High school diploma required; Associates Degree preferred
- Clerical experience Strong written and verbal communication skills
- Specific skills in typing, computer skills and operation of business machines are required
