Job Overview
We are seeking a dedicated and reliable Construction Assistant to join our team. A construction company office manager is responsible for overseeing the day-to-day administrative functions of a construction company, including managing paperwork, coordinating subcontractors, processing invoices, maintaining financial records, handling client communication, and ensuring the smooth operation of the office, all while adhering to construction industry standards and deadlines.
Key responsibilities may include:
- Administrative Tasks:
- Managing incoming and outgoing correspondence, including emails, phone calls, and faxes
- Maintaining filing systems for project documents, contracts, permits, and invoices
- Scheduling meetings and appointments with clients, subcontractors, and internal teams
- Coordinating office supplies and equipment
- Handling basic HR functions like timekeeping and employee onboarding support
- Financial Management:
- Processing invoices from subcontractors and vendors
- Tracking project budgets and expenses
- Preparing and distributing client invoices
- Maintaining accurate financial records and reports
- Assisting with accounts payable and receivable functions
- Project Coordination:
- Coordinating with project managers to ensure timely completion of project deliverables
- Communicating project updates to clients and stakeholders
- Managing subcontractor contracts and purchase orders
- Tracking project schedules and milestones
- Client Services:
- Answering client inquiries and addressing concerns
- Preparing client proposals and presentations
- Maintaining positive client relationships
