Job Details :
- The Medical Director is responsible for supervising Healthcare Center (HCC) providers including mid-levels if any. She / he must review and co-sign at least as many mid-level charts as required by state law. Additionally, the Medical Director must periodically review a random sampling of charts for all HCC providers (including MD / DOs). This review should assess each provider’s : (1) general clinical competence; (2) compliance with Grantee requirements and (3) compliance with national quality metrics (such as those published by HIV-Aids Bureau (HAB), Health Effectiveness Data and Information Set (HEDIS) and the Physician Quality Reporting System (PQRS). The Medical Director is responsible for giving appropriate feedback to the HCC providers based on chart reviews, as well as individual quality metric data.

- Maintains adequate provider staffing in the healthcare center to ensure smooth flow of patients. This will include coordination of vacation schedules such that not more than one provider is out on scheduled vacation at the same time.
- Maintains provider productivity to standards set by AHF management of 14 patients per day (at minimum) or 7 per ½ day session. This will include counseling staff and troubleshooting as necessary. Further help can be obtained by contacting the Regional Medical Director or the Chief / Deputy Chief of Medicine.
- Ensures attendance of HCC medical staff at Case Conferences and Medical Provider Meetings. Recommends CME (Continuing Medical Education) programs as appropriate based on chart reviews.
- Ensures that all HCC providers timely chart and bill for their patient visits (within 48 hours of seeing the patient). The Medical Director is responsible for weekly reviewing the missing charge report and ensuring that HCC providers promptly resolve any unbilled encounters.
- Ensures that all HCC providers timely complete their 104-Day Reports.
- Reports to Chief of Medicine, Deputy Chief of Medicine and / or Regional Medical Director at medical staff meetings on above mentioned issues.
- Responsible for day-to-day operations and decision making involving front office, nursing, and case management in liaison with appropriate managers / directors. This encompasses general oversight of the HCC’s financial performance, including contracting (ensuring all HCC providers maintain up-to-date CAQH files and comply with contracting requests), insurance eligibility (ensuring that an eligibility process is in place and troubleshooting if there are an unusually large number of ineligible claims) and claims submission (ensuring that all HCC providers submit claims for their visits and promptly respond to Billing Department inquiries about denied claims).
- Leads weekly HCC triadic / tetradic leadership meetings, which should include the practice manager / office administrator, RN Manager, and Pharmacist, as applicable. The purpose of the meeting is to review HCC data regarding patient retention, quality of care, financial performance, and client experience and to strategize on how to improve these metrics.
- Leads monthly (at a minimum) HCC staff meetings to give direction to and obtain input from all HCC staff.
- Conducts / leads daily HCC morning huddles to review patient care gaps; determine if additional outreach is needed for scheduled patients at risk of loss to follow up; and to address any workflow issues (as would occur when there is a provider / support staff member absence).
- Responsible for the overall clinic administration.
The position of HCC Medical Director will be re-evaluated every 6 months by healthcare center staff and management for evaluation of personnel management and leadership skills. Leadership seminars will be recommended as appropriate.
In order to ensure adequate time for the execution of these responsibilities, Medical Directors are allocated a standard 4 hours of administrative time (as with all staff providers) plus an additional 2 hours for HCCs with a census of 1500-2499 patients and an additional 4 hours for HCCs with a census of 2500 plus (see Administrative Time Policy & Procedure). If more time is required, prior authorization must be obtained from the Chief of Medicine.
