The San Bernardino Superior Court is seeking a skilled and reliable Senior Accounting Assistant to support essential financial operations that help keep the Court running smoothly. This role offers the opportunity to contribute to meaningful public service while working across multiple courthouse locations. This role offers the opportunity to contribute to meaningful public service throughout San Bernardino County and requires frequent travel between courthouse locations to fulfill job-related essential functions of the position. 


 KEY RESPONSIBILITIES

A strong candidate will possess the ability to:
  • Maintain and reconcile financial records by posting, verifying, and auditing accounting data across financial, case management, and spreadsheet systems; identify and correct discrepancies in accordance with established policies.
  • Oversee bail and bond account activities, including processing bail refunds, issuing tax forms, preparing bail-related notices, and ensuring custody of original bond documentation.
  • Audit and process court financial transactions, including daily deposits and payments, vendor invoices, accounts payable requests, and expense reimbursements, ensuring compliance with court procedures.
  • Coordinate the collection and tracking of NSF checks, including generating correspondence, posting reversals, and managing related case closures and financial distributions to appropriate agencies.

  1. Enters, post and verifies accounting data into the financial accounting system, spreadsheets and case management system used to sort, retrieve and analyze financial information, compile reports, and perform other financial processes; compiles, generates and distributes required reports; researches transaction history in order to identify problems and errors.
  2. Maintains accounts related to bail/bond duties; verifies documentation, processes approved requests and issues bail refund checks; maintains and ensures custody of original bonds; completes tax forms on bails; prepares or oversees the preparation of bail demand notices and the processing of fees or bail exonerations; reconciles bail refunds account.
  3. Counts, audits and verifies daily receipts from district courts, including check, cash and credit card totals; audits and verifies daily deposits; reviews and verifies financial report totals and identifies, researches and corrects errors, within established policies and procedures; may audit district petty cash and cash drawers for accuracy of recordkeeping; performs month-end balancing of assigned general ledger accounts and transactions.
  4. Follows established procedures to assist in collection and recording of NSF checks received in payment of fines and fees; if directed, sends case for issuance of bench warrant; generates and sends correspondence to customers regarding NSF checks; creates necessary entries for revenue reversal; collects and records monies due; issues receipts for payment; maintains and updates unredeemed NSF log; closes cases when collection activities are complete; distributes monies collected to different agencies in accordance with stated policies/procedures.
  5. Ensures monies paid or received are posted correctly to a variety of accounts, which results in revenue distribution to cities, the state, the county, various law enforcement agencies and others; applies distribution-related laws and legislation to correctly distribute funds; identifies and corrects case management and financial system for distribution errors.
  6. Reviews for accuracy and processes payments of vendor invoices, accounts payable check requests and expense reimbursements in accordance with court policies and procedures; verifies required approvals and use of correct account numbers; advises departments on errors in codes or payment methods.
  7. Processes entries to correctly distribute trust monies; prepares trust transfers and/or refund checks; receives, reviews and logs court orders and attorney or party documents authorizing deposit and/or disbursement of trust monies; confirms required court authorization for receipt and/or disbursement of trust funds.
  8. Responds to questions regarding invoices, purchase orders, payment policies/procedures, the status of specific billing and payments, funds on deposit with the court, the status of claims and program funding and reimbursements; works with departments and employees to resolve issues regarding the application of court policy.
  9. Maintains required files and records; attends meetings; participates in court training.
  10. Performs other duties as assigned.
Graduation from high school and at least five (5) years of experience in financial or statistical recordkeeping duties in a governmental or public court environment; or an equivalent combination of education, training and experience.
  • Represent the court effectively in dealings with the public, vendors and contractors;
  • Use tact and diplomacy when dealing with sensitive, complex and/or confidential issues and situations;
  • Establish and maintain effective working relationships with all those encountered in the course of work.

Salary : $55,416 - $70,779
