SUMMARY
The Administrative Assistant will provide various administrative functions for the purpose of supporting program operations. They create a welcoming, trauma sensitive atmosphere and provide general program information to consumers and the community. ESSENTIAL ROLES AND RESPONSIBILITIES
- Provide administrative support to all members of the team & program.
- Provide customer Service via phone and in-person client care.
- Maintain welcoming and friendly attitude and work environment.
- Receive and process new client referral and eligibility paperwork. Keep referral status updated and maintain regular communication with clients/referral sources.
- Assemble intake packets for all new clients.
- Open/Close client cases in Cerner, create client charts, and maintain chart room files.
- Ability to multi-task and maintain flexibility with all job duties.
- Maintain tidiness and cleanliness in the reception area.
- File all paperwork according to medical record protocol.
- Collect payments and co-pays as needed.
- Provide DCR database reporting related duties to support Full Service Partnership contract requirements.
- Provide ongoing Psychiatry support by scheduling psychiatric appointments; confirming weekly appointments; preparing charts with psychiatric paperwork; providing admin support to the doctor when onsite at the clinic; and managing client and pharmacy calls/questions/paperwork.
- Collect and enter CANS outcomes data on all clients and run monthly/quarterly reports.
- Maintain accurate and current forms, files, & supplies.
- Attend weekly staff meetings.
- Schedule all intake appointments for therapists.
- Run monthly program reports for Program, County, & Agency entities.
- Assist program with quality assurance and audits of medical records.
- Organize distribution, collection, and tracking of consumer satisfaction questionnaires.
- Check Medi-Cal eligibility for all program clients monthly.
Qualifications
MINIMUM QUALIFICATIONS
- Associate of Arts degree or equivalent from two year college or technical school or 1 year related experience and/or training; or equivalent combination of education and experience
- Valid California Driver’s License
- Good computer skills (Excel, Word, Databases)
- One year minimum related experience and/or training
- High level organizational skills
- Trauma Informed training
PREFERRED QUALIFICATIONS
- Bilingual in Spanish (pay increase available for Spanish fluency)
- Bachelor’s Degree from an accredited university
- Proficient in Cerner (online medical records system)
- First Aid CPR Certification
