San Diego Mission Bay Resort is a sprawling 357-room resort, boasting multiple dining options, a beautiful renovated pool, a kids pool, astonishing Bay views, fire pits and so much more. We are excited to welcome a new Catering and Conference Services Coordinator to our Mission Bay Family.
The JOB:
The Catering and Conference Service Coordinator must be a highly motivated individual who is eager and ready to accept additional responsibilities when needed. This position will provide coordination support and administrative assistance to the Catering and Conference Services Managers as well as the Director of Catering and Conference Services. The ideal candidate has a friendly demeanor, the ability to learn new computer programs, and can multitask and complete projects in a timely manner. This person should demonstrate exceptional customer service, organization, and problem solving skills.
Requirements
A qualified individual will possess the talent and experience to support the Group Sales efforts of our Resort. Previous Administrative Assistant and / or hotel experience is a plus, but not required. Superior level computer skills with Microsoft Office is required.
Responsibilities
- Inquiry calls and walk-in for catering and conference services inquiries to include logging leads in Amadeus, and Catering Manager and Conference Service Manager assignment.
- Become a property expert by utilizing all tools available to disseminate information to incoming inquiries.
- Represent Catering by handling catering inquiries, walk-in clients & site visits when Catering Managers are out of the office.
- Facilitate in-house and pop-up meetings as required. Get approval from Dir. of Catering for any special requests such as food and beverage, setup, prior to creating and routing event orders.
- Coordinate definite meetings, weddings, and events as assigned. Meet and greet on-site clients.
- Create contracts & detail event orders for managers and return for approval.
- Create files for all definite catering business.
- Produce all in house communications such as, Ten Day Schedule for Events, Daily events listing, Catering backlog, Backlog Control Report, Catering forecast report.
- Coordinate amenities, ordering, and purchase orders as needed.
- Distribute Resumes and Banquet Event Orders as needed for upcoming groups
- Route: add-ons, event order pop-ups & revisions for all managers
- Compile comp set menu survey. Update all menus for upcoming year
- Serve as the main point of contact between clients and internal departments. (kitchen, A/V, housekeeping ,etc.)
- Perform any other job related duties as assigned.
