Job Description
Established local pediatric therapy clinic has an excellent opportunity for a part-time Office Coordinator in the Sorrento Valley area. We are seeking a dynamic administrative professional with proven leadership experience to join our team. We work with children who have special needs in the San Diego area. Our ideal candidate will be an integral team member who understands the mission of our clinic and will assist the Senior Office Coordinator in managing day-to-day business operations, scheduling, answering the phones, and greeting patients. On the job training will be provided.
The right person for this job MUST have a smile and love people. They must also be highly organized, detail-oriented, confident, have a positive attitude, be a self-starter, be computer proficient, and be able to manage multiple tasks simultaneously.
Duties include:
- Provide outstanding customer service
- Answering phones
- Schedule appointments for new and existing patients
- Processing payments for services
- Confirming appointments
- Confirming all patient information is up to date at each visit
- Business Operations – sending intake paperwork to prospective patients and gathering medical and financial information for each patient. Set up patient schedules and conduct benefit verification.
- Create accounts and patient cases in Clinic scheduling software. Schedule clinic staff for maximum productivity for evaluations, therapy, and other meetings.
- Billing – Enter, track, and audit patient visits and fees. Post patient payments and send superbills.
- Insurance - check benefit coverage for all patients with in-network insurance coverage
- Organize and maintain both electronic and paper filing systems.
- Work independently, often with confidential matters that require discretion.
Required Skills: Must love working with children and their families! Must have excellent oral and written communication skills, the ability to balance multiple demands and priorities, be detail-oriented, and a team player. Our ideal candidate must have an understanding of insurance coverage and billing insurances.
Requirements: At least 2 years of experience working in an administrative or marketing role, preferably in a medical setting.
Experience and fluency working with health insurance and Proficient in Microsoft Office and Google Docs.
Understanding of HIPAA requirements
- Experience with scheduling and customer services skills on the phone
- Experience with children (in any capacity) a plus
- Experience working in an EMR system
