Part Time to Full Time, Negotiable, Dependent upon Grant Funding

PURPOSE OF POSITION

The Program Coordinator is responsible for supporting program activities and overseeing selected program initiatives of the Foundation, as well as general administrative support.

PRINCIPAL DUTIES

Program Coordination

Ø Under the direction of the Director of Programs, provide oversight of selected program initiatives, grants and contracts to ensure successful implementation, achievement of program performance measures and deliverables, and periodic reporting requirements.

Ø Assure consistent, high-quality programmatic excellence

Ø Respond to specific program inquiries from grantor / contractor agencies, outside partners, and community stakeholders

Ø Foster productive relationships with funders and community leaders to further the objectives of selected programs and to understand relevant community needs, facilitate community connections, and develop strategic partnerships

Ø Oversee the development and on-going maintenance of an assessment process to measure and communicate the impact of selected programs and activities supported by the Foundation.

Business Development

Ø Work with the Director of Programs to assist in completing grant applications that fund key program initiatives

Ø Actively participate in formulating grant applications that provide combined funding for program operations and implementation and staff compensation

Program Operations

Ø Assist in developing data-informed practices and programs; track, record, and compile program performance data.

Ø Analyze program results and present findings

Team Support

Various administrative duties to support senior team members and company operations, including but not limited to the following :

  • Project Management Support :

o  Track, monitor, and follow up on project deliverables and deadlines; report to necessary team members any related issues that require their attention

o  Communicate daily updates, accomplishments, and any issues requiring attention to the appropriate team members

o  Research and provide estimates for projects, events, and organizational needs

  • Philanthropy Support :
  • o  Engage with donors in support of the Director of Philanthropy and CEO, such as sending personalized written correspondence or organizing meetings

    o  Research potential donors, individual giving, corporations, and foundations to identify gift-giving opportunities

  • General Administrative Support :
  • o  Take dictation from the CEO and transcribe notes accurately as needed

    o  Manage and maintain documents in the company database, ensuring organization, version control and accessibility

    o  Schedule meetings as necessary, coordinate logistics, and prepare detailed agendas

    o  Record and maintain notes during selected meetings and organizational gatherings

    QUALIFICATION REQUIREMENTS

    Ø Prior experience working in the fields of funded programs or senior services; experience in a nonprofit environment preferred

    Ø Ability to manage multiple projects and new initiatives

    Ø Ability to build and manage key relationships

    Ø Experience working with program funders and grantor organizations is highly desirable

    Ø Ability to analyze program procedures and practices to identify barriers and impediments to achieving goals and making recommendations for course correction

    Ø Proficiency with Microsoft Office business applications

    Ø Effective communication skills, speaking, listening, and writing in a clear, thorough, and timely manner using appropriate and effective communication tools and techniques

    Ø Strong organizational, detail-orientated, and time-management skills

    Ø Proven ability to work independently and effectively as an individual and part of a team

    Ø Ability to represent the interests of the organization, interact effectively with a diverse group, and be comfortable building successful collaborative relationships with program participants, team members, and other stakeholders

    Ø Proficiency in both written and verbal presentations, as well as the ability to interact with senior management, board of directors, nonprofit managers, and community influencers

    EDUCATION

    Ø Bachelor’s degree in relevant major or commensurate experience

    Ø Gerontology degree or certifications a plus

    LANGUAGE SKILLS

    Ø Ability to read, write and speak English fluently

    TRAVEL

    Ø This role may require travel to multiple locations within the San Diego region, reliable transportation is required

    PHYSICAL DEMANDS

    Ø Ability to lift 25 lbs

    Ø Able to sit for prolonged periods of time

    Ø Able to sit at a desk and view a computer screen for up to two hours

    Ø Able to speak into and use a telephone for long periods of time

    Ø Ability to bend and stoop

    WORK ENVIRONMENT

    Ø Non-smoking, professional office environment.
