What are the responsibilities and job description for the Donor Services and Stewardship Manager position at San Diego Symphony Orchestra?
General Summary:
The Institutional Advancement department’s Donor Services and Stewardship Manager provides donor ticketing and parking services and manages the major gifts stewardship program to foster and deepen relationships with the San Diego Symphony Orchestra (SDSO) donors. This individual’s primary role is to fulfill donor ticketing and parking needs at SDSO concerts in addition to ensuring that donor benefits are fulfilled, providing excellent stewardship to donors, and assisting gift officers with stewarding major donors in their portfolios.
Essential Duties and Responsibilities:
- Serve as primary contact for patrons and clients of the San Diego Symphony for donor ticketing and parking.
- Manage VIP house seat allocations for Institutional Advancement department.
- Work with Ticket Services to ensure that prime seat locations are reserved for major donors (defined as current donors contributing $5,000 or more).
- Take calls and emails from major donors, and assist with single ticket purchases, subscription purchases, ticket exchanges, ticket donations and general questions.
- Coordinate major donor subscription renewals and seating.
- Ensure seamless communication between Ticket Services and the Advancement department.
- Release house seats in a timely manner to ensure the Symphony’s ability to sell seats to the general public.
- Work with the Advancement staff to ensure that major donors receive priority seating, both through subscription seating process, and single tickets.
- Ensure donor benefit integrity by ensuring that patrons qualify for this VIP level of service.
- Work with Ticket Services to prioritize major donors during the subscription seating process; monitor which donor is seated where, and approve final selection of seat subscription locations for major donors.
- Facilitate tickets from other institutions for donors.
- Coordinate ticketing needs for special events, dinners, and receptions.
- Manage donor parking for Beethoven Society and above supporters.
- Help manage stewardship of the Beethoven Society program by communicating and promoting participation in key events and activities.
- Assist the Vice President of Institutional Advancement and coordinate stewardship of Board Members.
- Ensure major donors are properly acknowledged by tracking recognition of individual and corporate donors, supply marketing with logos, language, and photos.
- Work with Gift Officers to manage and coordinate accurate recognition listings, and work with Marketing to develop Advancement ads in performances program (printed and electronic) for all donor affinity groups (Legacy Society, Honor Roll, Beethoven Society, Partner with a Player, Guest Artist Partners, and Special Events).
- Coordinate thank you notes from board members, musicians, etc.
- Continue to build and grow a stewardship program for the Symphony, including but not limited to:
- Annual Donor Impact Report.
- Benefits communication.
- Social media gratitude posts.
- Donor spotlights and features in Symphony newsletter.
- Support advancement operations to ensure that the department meets its monthly and annual operational goals and objectives.
- Draft donor communications and correspondence for VP of Institutional Advancement.
- Other duties as assigned.
Required Knowledge, Skills and Abilities:

Education and Experience:
- Bachelor’s degree preferred.
- Experience working for a not-for-profit a plus.
- Knowledge of Microsoft Office programs, including Word, Excel and Outlook and Power Point required.
- Knowledge of Tessitura database software preferred.
- Basic knowledge of Adobe Acrobat preferred.
General Requirements:
- Available to work nights, weekends, and overtime as required for concert and event coverage.
- Able to sit or stand for long periods of time.
- Able to pick up and move a minimum of 20 lbs.
Working Conditions:
- Regular, predictable attendance required as well as evening and weekend work shifts.
- Normal office working conditions: sitting at a desk and computer terminal for long periods of time, typing and computer work, light to moderate lifting.
Pay Range:
$25.00/hr-$28.00/hour
