Essential Job Duties
1. Program Coordination & Administration (80%):
- Support the management and coordination of the Home Preservation, ADU, and Homeownership programs by assisting with client intake, outreach, application processing, and ensuring the proper documentation is gathered.
- Ensure client eligibility is verified for programs and maintain an organized pipeline of applicants, assisting in client communication and project scheduling.
- Help coordinate the delivery of services and manage the documentation process, including post-project follow-ups, client satisfaction surveys, and warranty records.
- Develop and maintain accurate client files, both in physical and electronic formats, ensuring the confidentiality and compliance of all program-related data.
- Assist with outreach strategies and help maintain relationships with community partners, subcontractors, and external organizations to ensure effective program delivery.
2. Client and Community Engagement (10%):
- Serve as a point of contact for program applicants, providing assistance throughout the application process and ensuring they understand program requirements and benefits.
- Coordinate with community partners, city agencies, and local organizations to increase awareness of the available programs, assisting with promotional materials, outreach, and presentations.
- Participate in community engagement efforts by conducting informational workshops, home visits, and presentations related to program services.
- Provide recommendations on ways to improve the programs and expand service offerings to meet community needs.
3. Data Collection & Reporting (10%):
- Manage and maintain accurate and up-to-date data on program participants and project outcomes using relevant software.
- Help with quality control for program databases, ensuring data integrity and facilitating effective reporting for compliance and funding purposes.
- Support the preparation of reports for internal stakeholders, funders, and compliance agencies, ensuring that all necessary documentation is completed and submitted on time.
- Assist in evaluating program performance, gathering client feedback, and identifying areas for improvement based on data analysis and client input.
Skills
- Excellent organizational and time-management skills, with the ability to handle multiple tasks and prioritize effectively.
- Strong communication and interpersonal skills, able to work well with diverse communities, partners, and stakeholders.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with Salesforce or other CRM/database systems.
- Ability to work independently and collaboratively in a fast-paced, dynamic environment.
- Familiarity with affordable housing issues and challenges, including home repairs and preservation, and desire to learn.
Abilities
- Strong attention to detail and ability to manage confidential information.
- Ability to be flexible and respond to changing priorities while maintaining a high level of customer service and professionalism.
- Bilingual (English/Spanish) preferred but not required.
- Ability to travel locally for client visits, assessments, and outreach events.
Experience
- At least 1-2 years of experience in program administration or coordination, preferably in affordable housing, social services, or a nonprofit setting.
- Experience with client-facing roles, including intake, eligibility verification, and community engagement.
- Previous exposure to the housing or construction industry is a plus, especially in home repairs, housing rehabilitation, or similar programs.
