POSITION SUMMARY:
The Administrative Assistant II position reports to the Vice President and Chief Nursing Executive (VP/CNE). The Administrative Assistant II role combines the duties and responsibilities of both the Administrative Assistant and the Staffing Coordinator. This position provides clerical and back-up support to the Executive Assistant and VP/CNE. Responsibilities include answering the telephone, taking accurate messages, coordinating meetings, creating and maintaining tickler files for notification of renewal protocols, advertising, and marketing assignments, and performing other special projects as assigned.
The Administrative Assistant II also assists the nursing directors with maintaining core staffing levels for their departments. They complete the daily schedules and work with the nursing supervisor to respond to fluctuations in the patient census requiring the addition of nurses or the flexing out of staff.
The Administrative Assistant II works with staffing agencies to procure registry and travel nurses as needed. They review files for accuracy and completeness. Assists the directors and new staff nurses with navigation of the KRONOS computerized scheduling program. They supervise the work of the hospital Auxiliary members who are assigned to Nursing Administration to help with projects.
REQUIREMENTS:
Education:
* Minimum of High School diploma or equivalent preferred.
* Prefer A.A. in the medical field.

Experience:
- Recent, related experience as a clerical assistant or equivalent.
- Recent experience with word processing programs and spreadsheet applications.
- Recent experience with coordinating major clerical projects.
- Recently demonstrated ability to complete projects, and the ability to work in a fast-paced multitasking environment with frequently changing priorities.
Other Skills:
- Ability to communicate effectively verbally, in writing and in conversation both over the telephone and in person.
- Familiarity with administrative duties.
- Ability to create, maintain and retrieve information in an efficient and organized manner.
