JOB TITLE: ADMINISTRATIVE TECHNICIAN (Part-Time, 27 hours per week)

Hiring Compensation Range: $27.96/hour – $34/hour. Depending on Qualifications.

Start Date: Immediately.

Opening Date: 3/25/2025.

Closing Date: Open Until Filled.

Work Schedule:

3 days/week, 9 hours/per day, Tuesday-Thursday.

Start time is 8:00 a.m. to 5:30 p.m. with a half hour lunch.

DEFINITION:

The San Joaquin Council of Governments (SJCOG) is seeking a highly motivated and organized Administrative Technician (Admin Tech) to join our team. The Admin Tech will play a crucial role in ensuring the smooth operation of our office by providing administrative support for our team.

The Administrative Technician is a specialist classification within the office support series. Under general supervision within a framework of standard policies and procedures, the incumbent provides specialized clerical, secretarial and office technical support to the staff and activities of an assigned program; serves as agency point of contact by phone. This classification is distinguished from the Administrative Clerk II classification which is responsible for the performance of clerical and office support work of a general nature that utilizes well established and standardized procedures and does not require the same level of program or process specific knowledge required of this classification. This classification is further distinguished from the Office Administrator job classification, which has full responsibility for the supervision of office support staff and a centralized office support function.

This position reports to the Office Administrator.

EXAMPLE OF ESSENTIAL JOB FUNCTIONS:

Dependent upon assignment, responsibilities and duties include, but are not limited to the following:

· This position will provide technical administrative support by collecting, interpreting, entering, tracking and processing department information and responding to various inquiries and drafting responses, typing, printing and distributing departmental correspondence, tracking and recording information and preparing reports, copying, scanning and faxing documents, managing database, and administrative procurement activities.

· Responsible for answering phones and responding to emails. Responds verbally and in writing to inquiries regarding program activities, services, policies and processes; identifies client needs and seeks to match those needs with program services; and coordinates service based on identified needs and/or program requirements

· Sets up computer hardware and provides basic technical support as assistant to the Information Technology Manager.

· Lift and move items weighing up to 35 pounds and maneuver under desks and behind equipment as necessary

· Orders required office supplies and computer accessories.

· Prepares, distributes, and posts agendas, times and locations of Board and subcommittee meetings ensuring compliance with all requirements of the Brown Act.

· Transcribes, types and posts approved meeting minutes and makes records available as appropriate.

· Performs special projects and related duties as assigned.

· Works in a collaborative manner with others; is flexible; has an eagerness to learn and is dependable.

EMPLOYMENT STANDARDS:

Education and Experience Guidelines

Any combination of education and experience that would provide the required knowledge and abilities is qualifying. A typical path to obtain the required knowledge and abilities would be:

  • Equivalent to the completion of the twelfth grade;

· One (1) year of responsible experience performing the work of a SJCOG Administrative Clerk II or four (4) years of journey-level clerical, secretarial and/or office technical experience

Knowledge of:

· Effective and appropriate public contact and telephone techniques.

· Methods to research, gather, organize and report data.

· Modern office practices and procedures including the effective use of a variety of standard office software programs.

· Effective operation of standard office equipment including a personal computer and applicable software applications.

· Correct English usage and basic business mathematics.

· Advanced principles and practices of record keeping systems and document preparation.

· Understanding of basic computing systems and video conferencing platforms

Ability to:

· Use initiative and sound judgment within established guidelines

· Maintain attention to detail in a work environment of frequent interruptions

· Organize work, set priorities, meet critical deadlines and follow-up on assignments

· Provide/obtain detailed information to/from others

· Research, compile and prepare a variety of statistical and administrative reports

· Establish and accurately maintain a variety of complex program files, records and databases

· Perform accurate mathematic calculations

· Understand and follow oral and written instructions

· Learn and apply organizational policies and procedures and the program processes related to assignment

· Learn and effectively use SJCOG’s automated systems and software applications

· Establish and maintain effective working relationships with those contacted during the performance of work duties and responsibilities

Licenses/Certification Required:

Assigned duties will require possession of a valid class C California Driver’s license, proof of automobile insurance, and a satisfactory driving record

GENERAL BENEFITS: SJCOG offers benefits package to part-time employees including:

· Pay-for-performance merit increases (subject to annual approval in the budget).

· Part-time employees receive sick time off with pay pro-rated according to the number of weekly hours they are scheduled to work, divided by forty (40) hours.

· SJCOG does not participate in the Social Security program; however, Medicare is deducted at a rate of 1.45%. SJCOG will contribute at a rate of 1.45%.
